Job title: Finance and Administration Manager
Location: Edinburgh/hybrid
Salary: £30,000 fte; £15,000 pro rata; 50% time, i.e. 20 hours per week, with some flexibility over the course of the year (for example, to fit as far as possible with timetables of candidates with children at school or other caring responsibilities).
About Firefly International:
Firefly helps war-affected children and young people by supporting locally-based partner NGOs in four project areas: Bosnia, Turkey (with Syrian refugees), northern Syria and Cairo (with Palestinian refugee children).
Our income is derived from grants and donations from private individuals, companies and trusts. Our projected income for the financial year ending 31 March 2025 is c.£500,000.
There is a team of four staff, consisting of the Director, Jane Salmonson; Appeals Director, Amy Stirling; Projects Coordinator Maria Chambers and the Finance & Administration Manager.
The post-holder will report to the Director.
There is an active, hands-on Board of Trustees who meet around once a quarter.
Core Responsibilities
1. Process receipts, payments, invoices, and manage transfers of funds to partner organisations.
2. Oversee regular monthly and annual donations and manage bank accounts, including transfers between savings and current accounts.
3. Maintain accurate financial records and ensure compliance with annual due diligence and audit requirements.
4. Reporting and Compliance:
o Notify the Director of grants and donations received.
o Provide financial updates, documents, and reports for management, accountants, and independent examiners.
o Support the budgeting process and monitor income and expenditure against budgets.
5. Database and Systems Management:
o Maintain and update the donation database (‘donorfy’).
o Ensure efficient filing and maintenance of financial records on shared systems.
6. Stakeholder and Relationship Management:
o Manage relationships with the landlord, contractors, suppliers, and the independent examiner.
o Work with the Appeal Manager to track and record all donation sources.
7. Additional Duties:
o Assist with other tasks as required to support the smooth running of the organisation.
