KEY DUTIES Administrative support To determine the administration requirements for medical students and physician associate trainees aligned to placements within the Trust in collaboration with the Medical Education Administrator Co-ordinator, Clinical Sub- Deans, Head of Clinical Education, Medical Education Facilitator, Clinical Education Research Lead. To provide administrative support for undergraduate medical students and physician associate trainees on placement in the Trust from the school of Medicine at Edge Hill University. To provide administrative support to clinical education faculty for relevant clinical education activity. To liaise with clinical skills tutors and the medical education administration coordinator to organise undergraduate timetables, room bookings, photocopying/printing of teaching materials and facilitation of relevant clinical teachers for the delivery of appropriate teaching to physician associate trainees and medical students on placement at the Trust. To engage with and communicate relevant information about placements to relevant supervisors, departments and directorates and take action to make appropriate changes to any placements. To liaise and maintain close links with administrative staff at Edge Hill University regarding placements and student support. To organise and prepare induction arrangements for medical students and physician associate trainees to support their placements in the Trust. To collaborate and communicate effectively with other stakeholders, healthcare professionals and members of the clinical education team to ensure delivery of relevant aspects of the clinical education teaching portfolio. To prepare and assist in the setting up of seminar and skills rooms for relevant meetings by setting up of audio-visual equipment, provision of appropriate technical support to teachers, clearing of catering, and moving and handling of chairs and tables. To assist the clinical education faculty in the organisation of any on-site assessments (eg OSCES) including the recruitment of appropriate patients for relevant exam stations. To support the Medical Education Administration Coordinator and Head of clinical education with the quality review visits and attend the Medical School quality visit. To be a point of contact for medical students and physician associate trainees on placement and to respond to any queries and determine appropriate action including referral or escalation as appropriate. To support and implement effective pastoral care pathways and to communicate any pastoral issues with students with Edge Hill University. To provide appropriate pastoral care to physician associate trainees and medical students on placement and to escalate support as appropriate. Operational To communicate and collaborate with the Medical Education Administration Coordinator, Clinical Sub- Deans, Head of Clinical Education and Clinical Education Research Lead to identify relevant workforce and capacity needs. To store, use and maintain any equipment as per department or hospital guidelines. To monitor and check that adequate stocks of equipment and consumables are available for training and to re-order where able or report to management if not. To organise and facilitate appropriate meetings including face-to-face and via Microsoft Teams / Zoom and to take minutes as needed. To collaborate with the clinical education administration team to ensure relevant data is collated and input into appropriate databases. Support initiatives to monitor student engagement and attendance whilst on placement and to provide reports as needed to stakeholders. Work closely with departments across the organisation to negotiate and coordinate support for delivery of relevant training programmes. To network and collaborate with other medical education administrators in the region and to attend relevant meetings to represent the department and Trust. To work flexibly across sites as needed. To provide reception cover as needed for the clinical education centre. To assist with cover for colleagues during any absences.
