We are recruiting a Rotas and Administration Assistant on a variable hours contract with hybrid working from our Windermere office and home. It includes weekend working.
This role would suit an individual with a background in administration, with strong MS Excel skills and is comfortable working via a variable hours contract based on the needs of the business.
Job Title: Rotas and Administration Assistant
Job Structure: Variable Hours contract - up to 30 hours per week
Location: Working partly from our office in Windermere and also from home with company IT equipment. Plus up to one in-person team meeting per month in South Cumbria/Lancashire (may require an adjustment to normal working hours).
Pay: £12.44ph plus statutory benefits
Participation in 5% Permanent Placement Bonus Scheme

Main Duties & Responsibilities:
Summary: The Rotas and Administration Assistant will help with the creation, maintenance, and monitoring of team member rotas. The individual will allocate team members across our client bookings, administer rota changes, and ensure compliance with our company strategy. The individual will work closely with others to ensure the smooth scheduling and effective communication of rotas to clients.
* Rota Management:
* Update and manage staffing rotas to support client bookings.
* Use MS Excel spreadsheets and Google tools to create, maintain, and update rotas efficiently.
* Maintain accurate records of all bookings, shifts, and employee availability.
* Allocate shifts to team members based on their skills, experience and availability.
* Team Member Communication:
* Communicate scheduled shifts, changes, and client/role information to team members.
* Respond to employee requests for shift changes, time-off and general queries.
* Deliver positive and negative feedback in a professional and mature manner.
* Problem Solving:
* Address any issues related to shift attendance, staffing shortages, or schedule conflicts. This requires initiative and an enthusiasm to solve problems.
* Liaise with Line Manager to resolve any staffing issues or concerns.
* Client Communication:
* Communicate completed rotas to clients via clear, value-added and timely communications.
* Identify and suggest opportunities to upsell shifts and our range of services to clients.
* Continuous Improvement:
* Identify opportunities to improve our internal and external operations and deliver suggestions in a research-based way.
Administration Role:
* Daily, end-of-day communication of outstanding and pending actions.
* Take incoming phone calls and escalate.
* Read incoming messages and emails and either act per our procedures or escalate to the correct Google space - including Timesheet, QR, IT, Finance and Sales.
* Perform a supporting role in ensuring clients and team members receive updates to client guidance, training and company policies.
* Maintain accuracy of our Team Client Guidance resources.
* Manage the applicants and posts to our Facebook site – Jobs with Live In Accommodation.
* Ad hoc project work as required by the Managing Director.
Key Attributes:
You’ll need to be happy working solo and as part of a team that’s committed to delivering high standards of service. You’ll be:
* A dynamic problem solver who can research and figure out a suggested answer via own initiative.
* Excellent communication skills – including the maturity and confidence to make things happen when it comes to influencing others.
* Excellent user of Microsoft Excel.
* Excellent literacy and good numeracy skills.
* PC literate – able to use Google Sheets, 40+ wpm, social media, databases.
* Organised with strong attention to detail.
* Able to prioritise tasks and adaptable to changing priorities quickly to handle any urgent staffing/client communications.
* Experience in scheduling and rotas may be an advantage.
* Able to deliver efficiently and timely while working from home.
* Confidentiality – able to handle private details of clients and staff reliably and with integrity.
Working Conditions:
* Shared office at St John’s Lodge Guest House plus some home working.
* A laptop and all necessary software and equipment will be provided for you to work from home effectively.
Salary and Benefits:
* Employed – £12.44, variable hours, holiday pay, SSP, permanent placement bonus. Annual pay review in November.
