Turner & Townsend are looking for a full-time Operations Assistant – Finance to join the existing admin team based in the Bristol office, led by the Business Assistant. The successful candidate will be able to demonstrate their ability to work in a close-knit team but also complete tasks independently and to deadlines. The role will suit a high calibre individual who is looking for a varied and challenging role. This is an excellent opportunity to join a busy office environment with varied days, within a team and working independently.
The role will involve working closely with Directors and Business Units to support financial administration and processes.
Working hours will be 37.5 hours each week. Some flexibility would be beneficial when required by deadlines.
Main Duties
1. To carry out all financial administration processes related to Turner & Townsend projects, in liaison with the Commission Managers and Directors.
2. To ensure that the monthly financial objectives of the Cost Centre Leads, operational Directors and the Head Office Finance department are met, on time and in accordance with company policy and procedure.
3. To support the Business Assistant for the South - West offices with financial reporting, management of consumables and other office costs.
4. Dealing first hand with financial queries on project finances from clients, suppliers and operational staff.
5. Raising of new business opportunities on D365.
6. Population of fee forecasts and profiles on D365 (forecasting and reforecasting).
7. Use of D365 to raise monthly draft sales invoices for projects.
8. Management of the approval and issue of the draft sales invoices specific to your cost centre (predominantly Real Estate division).
9. Maintaining up to date data within D365.
10. Reviewing and analysis utilisation from D365.
11. Taking personal responsibility for reconciliation checks across financial data to omit errors.
12. Arranging New Supplier / Client set ups on D365 in line with Finance Department process.
13. Raising purchase orders on D365.
14. Liaising with suppliers and finance department regarding invoicing queries, escalating issues as required.
15. Managing invoice receipt and authorisation processes.
16. Monthly/Quarterly reporting to Business Assistant and wider T&T stakeholders on all office related expenditure – consumables and maintenance suppliers.
17. Logging and tracking environmental reporting for the Bristol office.
Qualifications
1. Experience of Microsoft Dynamics 365 or similar financial management systems.
2. Advanced Microsoft Excel and Word skills.
3. Previous experience in a Finance related role – bookkeeping or similar.
4. Advance understanding of financial mechanisms, processes, procedures and systems relating to the delivery of projects set-up to invoicing (full training on Turner & Townsend’s systems and services will be provided).
5. Other attributes required include high level of attention to detail, excellent communication skills, team working skills and being proactive.
6. Judgement and integrity – Making balanced decisions and determining the right course of action, considering appropriateness, materiality, risks, benefits and the policy, values and priorities of Turner & Townsend.
7. Taking initiative and being proactive – Dealing with low-risk situations on your own where necessary.
