Administrator - St Helens The Role We are recruiting a Receptionist/Administrator who will work closely with the Office Manager, Senior Management and other Administrators within the company. You will be responsible for providing a professional reception and administrative service which aims to provide a welcoming environment to visitors and staff. The ideal candidate for this Receptionist/Administrative role will have previous experience in an administration role and be familiar with the use of travel booking sites (i.e. Booking.com, Airbnb) and also have a good working knowledge of Microsoft Office. You will have the ability to prioritise and work independently, be an effective communicator both verbally and in written form. We are looking for someone who is proactive, flexible and has a can do approach. A relevant administration qualification is also a requirement. Specific responsibilities include the following but are not intended to be exclusive or exhaustive: Reception Duties Responsibility for opening and securing the office at the beginning and end of each day Ensure the office and meeting rooms are clean, organised and ready to receive visitors Handle incoming phone calls and direct messages to the appropriate person or department Monitor and maintain office supplies and provisions Greet visitors, ensuring that they sign in appropriately Prepare and serve refreshments for visitors and APS staff in meetings Administrative Duties Deal with all aspects of researching and securing accommodation options at competitive rates including liaising with local agencies to find the best deals Co-ordinate travel arrangements for APS staff including flights, train tickets and ferries Collaborate closely with the labour supply and commercial teams to ensure travel and accommodation expenses stay within the project budget Organise airport parking and transfers when required and manage vehicle crossing fees, i.e. Merseyflow, Tunnels, Tolls and Congestion charges etc. Arrange meetings and take minutes as required Assist directors with planning company events, including booking venues etc. Co-ordination of meeting room bookings General office duties, i.e. scanning, photocopying and printing The work environment Our Head Office is based in St Helens town centre, a short walk from train and bus stations.
