Job Title: Operations Co-ordinator
The position of Operations Co-ordinator is a full-time, 1 year maternity cover role. The successful applicant will be self-motivated, possess excellent time management skills, an eye for detail and the ability to think on the spot to resolve operational issues as they occur. They will have experience working in a busy office environment where multi-tasking and prioritising were essential.
Key Skills and Responsibilities
Comply with all instructions and direction issued by the Operations Delivery Manager for all job-related tasks to include:
Assist the Operations Deliver Manager in the day-to-day co-ordination of all operational activities
Liaise between customer and management to ensure smooth operations delivery
Maintain clear and accurate operations documents for future reference purposes
Maintaining an up-to-date awareness of all project forecasts
Booking machinery, cranes, UK haulage, hotels
Booking external agency personnel & monitoring time sheets
Ensure all job-packs are prepared and uploaded for all live projects.
Create orders for project components and material(s)
Matching up corresponding invoices to orders
Creating and emailing client checklists to customers, ensuring all is in place for the project to commence. (i.e. Sending certs, insurances and other requests by the client)
Sending all Project RAMS and lift plans to client
Maintaining Visual Planning and Operations IT house keeping
Liaising with all scanning companies regarding scans, visits and PO’s
Subsistence and Expenses payments
Weekly van tracking
Arrange European Haulage
Booking Flights and Ferries
Management meeting reports: agency man days/monthly projects/monthly transport/hotel costs
Raise purchase orders and other requests to assist the Logistics Manager
Assist all Site Managers with office support as required
Driving license checks
Updating of all external sub-contractor’s insurance details to ensure adequate indemnity cover.
Mandatory Competencies
IT Literate, including MS Office and PDF
Confident, professional and flexible with excellent attention to detail
A high level of practical working skills and the ability to communicate coherently
Ability to handle high levels of pressure

Salary circa £26,000 to start and rising. Full time hours (40 / week). 8am to 5pm (1 hour break). 5 days per week. Working within company head office
