JOB SUMMARY: SUMMER ACADEMY PROJECT SUPPORT SPECIALIST
JOB TITLE: PROJECT SUPPORT SPECIALIST DATES: Vary Mid May – Mid August
HOURS: Monday – Sunday, Hours will vary POSITION(S) AVAILABLE: 1
32 - 40 hours per week PAY: $15.00/hour
REPORTS TO: Office Manager
PURPOSE: The Project Support Specialist role is to provide behind-the-scenes support that helps to facilitate the successful implementation of PUB programming and service delivery.
PRIMARY DUTIES:
1. Recording: Partner with PUB Office Manager to assure recording of Summer Academy Orientation. Download to a device where it can be replayed for individuals who missed orientation. Set up and facilitate the replay as necessary at the discretion of the Office Manager. Likewise, record the Annual State Performance.
2. Headshots: Take headshots of Summer Academy Scholars at orientation. Download, print and place a hard copy in each Scholar’s master file. Download to the Google Drive and print a sheet of headshots w/names to go into training binders. Upload individual photos to respective Scholars database files in Student Access. Provide directions for PUB Scholars to the OC ID card office on orientation night to take meal ID’s.
3. Candid Photos: Using the Summer Academy Calendar and Schedule of Classes as references, capture candid photos of PUB Scholars involved in Project activities to document that PUB is providing the federally mandated four pillars of service: Academic, Social/Emotional, Cultural and Career enrichment.
4. Newsletter: Collaborate with the Classroom Support Assistant to find out and produce the photos needed for the weekly newsletter.
5. Capture a group shot of each PUB Team: Administrative, Academic Mentors, Peer Mentors w/Head Resident (and Night Watch if available), Performing Arts teachers, all other teachers. Take the shots on Dress for Success days so that individuals will already be appropriately attired.
6. Administrative Support: Apply computer science skills to projects assigned by the Office Manager that support administrative productivity (Ex: Database updates, Shared Drive clean-up).
7. Set up, break down and store inside and outside directional signs for PUB.
8. Coordinate event supply deliveries and storage.
OTHER DUTIES:
1. Greet incoming visitors and provide directional or informational assistance as needed.
2. Answer telephone calls providing specific information or routing to appropriate PUB Team member.
3. Initiate emails and/or phone calls for projects that need a quick response.
4. Perform accurate word-processing of lists, labels, certificates, and similar projects.
5. Perform data entry and file confidential documents (must sign confidentiality agreement).
6. Copy, fold, collate, staple, or fax documents; prepare mailings and documents for meetings.
7. Provide “behind-the-scenes” support for Summer Academy orientation.
8. Coordinate and facilitate teacher supply and copying orders.
9. Keep the PUB leased vehicle fueled and drive it as necessary to perform assigned tasks.
10. Make deliveries and pick-ups to different campus locations (which may include escorting participants).
11. Keep storage areas organized and transport supplies between rooms/buildings as needed for programming (which may require some lifting).
12. Assist with organization and storage of supplies at the end of summer.
13. Assist Performing Arts to quickly vacate the premises after the awards program.
14. Other tasks as assigned by the Office Manager or Department Administrators.
MINIMUM QUALIFICATIONS:
1. Ability to clearly enunciate words in Standard English with a working knowledge of proper grammar, spelling, and punctuation in written form.
2. Ability to successfully interact with the public, students, faculty, and staff from all backgrounds.
3. Ability to stay focused in a highly busy, quickly changing, and sometimes loud environment.
4. Computer literacy, especially with Microsoft Office Suite, with medium-duty word-processing skills.
5. Ability to operate standard office machines and telephone units; and bend, stretch, lift, and transport.
6. Ability to utilize standard office resources (including Internet, digital camera, video camera).
A CLERICAL SKILLS ASSESSMENT WILL BE ADMINISTERED TO TEST TYPING, FILING, AND COMMUNICATION SKILLS.
DESIRED QUALIFICATIONS:
1. One academic year successfully providing general office work, preferably in an education setting.
