This is a Permanent, Full Time vacancy.
We are seeking a meticulous Contracts and Data Co-Ordinator to support our Property Care operations. This role is pivotal in ensuring that all works are completed within the designated cost frameworks, while maintaining accurate financial records and preparing detailed reports. The successful candidate will analyse data, identify trends, and recommend system changes to optimise both financial and operational efficiencies. The role also involves contract management and supporting administrative tasks, all aimed at ensuring the smooth and efficient delivery of services.
Your responsibilities will include:
* Gather, process, and provide financial information to maintain accurate records and monitor Property Care expenditure.
* Check and process supplier invoices, ensuring they are correctly costed and coded.
* Provide feedback on incorrect invoices and coach colleagues, contractors, and stakeholders on the correct processes for raising and closing works.
Reporting and Analysis:
* Prepare reports and documents using various IT systems and analyse data to identify trends for operational improvements.
* Ensure work is completed within the specified financial spend, checking accuracy.
* Use multiple IT systems (e.g., Excel, Access, Power BI) to produce reports on repairs and trades performance, making recommendations to improve financial and operational processes.
* Identify and report risks or control weaknesses to management, supporting the development of additional controls.
* Maintain meticulous audit files (paper and electronic) for each area of service and assist in gathering information for audits and inspections.
Contract Management:
* Lead contract review meetings with subcontractors and suppliers.
* Manage contractor work orders and material orders through to job completion.
General Responsibilities:
* Support the Head of Property Care in ensuring efficient and cost-effective works, delivering value for money.
* Seek and act upon customer feedback to improve services.
* Foster collaborative working relationships with colleagues, stakeholders, and partners.
* Ensure the health, safety, and wellbeing of self and colleagues, and comply with risk assessments and safe working practices.
* Maintain compliance with data protection legislation while striving to improve service delivery.
* Proficient in software applications, including Microsoft Office 365, Microsoft Teams, and Power BI.
* Excellent knowledge of Microsoft Excel for data analysis and auditing.
* High academic achievement (GCSE Grade A-C/5-7 in Maths & English).
* Experience in job costing and evaluation of Schedule of Rates.
* Understanding of data sources, organisation, and storage.
* Basic building maintenance knowledge to support effective repair diagnosis.
