We are a leading logistics company, seeking a motivated and experienced Freight Forwarder to support our Customer Services & FFD Manager. This is an exciting opportunity to join a dynamic team, where you will play a key role in delivering top-quality freight solutions while contributing to the company’s ongoing success.
Freight Forwarder Role and Responsibilities:
* Support Leadership: Assist the Hed of Customer Services in executing the department's strategy to align with the Managing Director’s vision, aiming to enhance business development and profitability.
* Customer Service Excellence: Ensure excellent customer service by managing client expectations and building strong relationships.
* Booking Management: Ensure accurate and timely recording of all customer bookings in the operations system.
* Sales Team Collaboration: Maintain regular communication with the sales teams to report new sales leads and ensure smooth handovers of shipments.
* SOP Management: Create and maintain current Standard Operating Procedures (SOPs) for the department, ensuring consistency and efficiency.
* Quotation Management: Communicate received quotations to the line manager and sales team within two hours, ensuring all quotations are logged in the system accurately.
* Process Improvement: Assist in developing and implementing new efficiencies and workflows to improve customer service and operational processes.
* Key Account Management: Manage key accounts, ensure prompt resolution of customer queries, and provide ongoing support.
* CRM Maintenance: Regularly update the CRM system with spot quotations and relevant customer information.
* Customer Feedback & Follow-Up: Obtain customer feedback where possible and follow up on outstanding enquiries to maintain satisfaction.
* Complaint Resolution: Handle customer complaints efficiently in accordance with SOPs, ensuring resolution within the agreed timelines.
* Credit Control Support: Assist the Credit Control team in collecting overdue payments from clients and suppliers.
* Due Diligence: Ensure all customer due diligence checks are completed for new clients.
* Company Representation: Uphold high standards of professionalism and company policies while interacting with customers, suppliers, and subcontractors.
* Client & Sub-contractor Management: Ensure effective management of client relationships and subcontractor activities in line with company policies.
* Financial Compliance: Ensure all financial transactions comply with company policies and legal requirements.
* Freight Booking: Ensure accurate and timely booking of consignments, including international, national, and cross-trade shipments.
* Liaison with Suppliers & Contractors: Coordinate bookings with third-party contractors, confirm bookings with customers, and liaise with suppliers and origin offices.
* Invoicing & Administration: Provide accurate and timely quotations, handle invoicing tasks, and ensure efficient administrative support for the freight process.
Freight Forwarder Skills, Experience, and Competencies:
* IT Skills: Proficiency in Microsoft Office Suite (Word, Excel) and experience using logistics management systems.
* Workload Prioritisation: Ability to manage tasks independently, prioritise workload, and meet deadlines while contributing effectively to a team environment.
* Communication Skills: Excellent written and verbal communication skills, especially over the phone and via email.
* Excel Reporting: Strong ability to create and manage reports using Excel.
* Team Collaboration: Ability to work collaboratively in a team environment while maintaining high standards of professionalism.
* Logistics Knowledge: A solid understanding of logistics processes, freight forwarding procedures, and industry practices.
* Customer-Focused: A commitment to delivering exceptional customer service and building long-lasting client relationships.
