Job Overview:
We are seeking a highly organized and proactive Administrative Assistant to support our Residential Sales and Lettings teams in the day-to-day operations of the business. As an integral part of our team, you will help ensure smooth administrative processes, contribute to team efficiency, and assist in a variety of tasks to support our sales and lettings activities.
For the right applicant, this role offers the opportunity for progression to a Trainee Negotiator or Trainee Property Manager, providing a clear path for career development within the company.
Key Responsibilities:
• Provide administrative support to the Sales and Lettings teams, ensuring effective coordination of tasks and processes.
• Assist with the preparation and organization of client meetings, property viewings, and relevant documentation.
• Handle incoming calls, emails, and enquiries, directing them to the appropriate team members.
• Maintain and update client records, contracts, and property listings in our system.
• Schedule and coordinate appointments, property viewings, and meetings for the team.
• Assist with the preparation of marketing materials, property brochures, and online listings.
• Handle general office tasks such as filing, data entry, and maintaining office supplies.
• Ensure smooth communication between departments and facilitate a seamless working environment.
• Provide general support to the team to meet business objectives and deadlines.
Skills and Qualifications:
• Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Strong organizational skills and ability to manage multiple tasks simultaneously.
• Excellent communication skills, both verbal and written.
• Strong attention to detail and problem-solving abilities.
• Ability to work independently as well as part of a team.
• Full UK driving licence and access to your own car (preferred but not essential).
Preferred Experience:
• Previous experience in an administrative or support role, ideally within a sales or lettings environment, is a plus.

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.

You will achieve a Business Administration Apprenticeship via a work mentor and Cambridge Regional College.
