We are looking for an experienced, enthusiastic, and dedicated individual to provide an effective and efficient secretarial service to the South West Cleft Service. The post holder will have a range of secretarial experience, ideally in a hospital environment, though other administration experience will be considered.
Working in a busy and sometimes demanding role, within a supportive team, you must be a good team player and enjoy working within multidisciplinary teams. The applicant should have good organisational and interpersonal skills and the ability to work well under pressure. As the post deals with patients, relatives, and healthcare professionals on the phone, applicants must have excellent communication skills and will be expected to have a courteous and efficient telephone manner. The successful candidate will need to have a good working knowledge of Microsoft Word, Excel, and Outlook.
Main duties of the job
1. To audio type, edit, and proofread clinical letters, general correspondence, and reports using the Trust’s Digital Dictation and Speech Recognition System, ensuring that all correspondence is despatched within the Trust’s target turnaround times.
2. Achieve the required standard of proofreading/editing using the Trust’s Digital Dictation and Speech Recognition System, as specified by the Trust.
3. Use the relevant computer systems and Patient Administration System (PAS) to accurately input and retrieve patient information, updating demographics where necessary.

We would welcome applications from those who meet all of the essential criteria as set out in the person specification. This includes having a qualification in word processing or audio typing (or equivalent), educated to GCSE grade C or above (or equivalent) in English Language and Maths, and Business and Administration Level 3 NVQ or equivalent experience.
Shortlisted applicants will be asked to undertake a dictation typing test prior to a face-to-face interview.
