Women’s Rugby World Cup England 2025 (Women’s RWC 2025) will be the 10th edition of the women's tournament.World Rugby, in partnership with the Rugby Football Union (RFU) and UK Sport, have formed a Local Operating Company to plan and deliver the event.

We are looking for an Accommodation Coordinator to play an integral part in the Tournament Services Team.The role will report to the Accommodation Manager and will support in the delivery of the RWC Accommodation (ACO) Programme, both in the planning stage and delivery. It will be a collaborative role working with various Functional Areas (FAs) to meet the specific requirements of each serviced client groups (Teams, Workforce, Tournament Guests, Match Officials and more). During Tournament time, the role will act as a central point of contact to co-ordinate the tournaments Accommodation requirements and liaise with the appointed accommodation agency to manage changes and support issue resolution.
What you’ll be doing:
* Support the Accommodation Manager with inventory management on the lead up and during the event.
* Work with the appointed RWC 2025 accommodation agent to facilitate change management and contribute to operational planning.
* Serve as a primary contact for hotels, overseeing relationship management and information sharing, including pre-event meetings.
* Ensure the efficient administration of the Accommodation Functional Area (FA) and provide support with documentation creation including rooming lists, operational plans and hotel fact sheets.
* Support project management efforts, providing timely and accurate reporting as required.
* Work closely with client group leads to ensure their specific needs are integrated into planning and delivered in line with expectations.
* Utilise the bespoke Tournament Management System (TMS) to manage inventory, acting as the main contact for client group leaders with any related queries.
* Assist in managing additional services related to client group stays, including laundry provision, ICE supply, and parking arrangements.
* Demonstrate leadership and initiative while working with tournament-time support staff and volunteers.
* Enforce change management procedures and assist with any necessary adjustments or changes.
* Facilitate ad-hoc pre-event accommodation requests.
* Support the Accommodation Manager in preparing and delivering reports to the Senior Leadership Team.
Experience & knowledge you’ll need:
* Experience in event planning, a relevant qualification or other relevant experience in the accommodation sector.
* Experience in a fast-paced environment supporting multiple individuals across a varied portfolio of responsibilities.
* Track record in taking accountability for delivery against fixed timeframes and specific project deliverables.
* Excellent organisational and administrative skills with a superior attention to detail;
* Excellent communication and relationship building skills;
Nice to Haves:
* Experience within a major sporting event landscape that involved planning for the accommodation functional area.
* Demonstrable success in supporting leaders and providing leadership to a team or workforce.
* Experience of managing external suppliers to deliver successful event operations.
