Our client is an established and highly regarded Regional Firm of Surveyors with offices across the South West and is looking for a part-time Secretary/Administrator to work in their Taunton office.
The Role
The purpose of the role is to provide support to the Fee Earners/Surveyors to enable them to work efficiently. You will provide clerical and administrative support to the Taunton office, ensuring that information is produced as and when required and that all correspondence and communication, both internally and externally, is managed in a professional manner. You will also provide similar duties to support the other offices when required.
Responsibilities
1. Relationship Management - Arrange and participate in meetings, conferences, and project team activities as determined by the Directors to meet the priorities of the business.
2. Using a variety of software packages such as Microsoft Word, Excel, Outlook, and Publisher to produce correspondence and documents from dictation and maintain presentations, records, spreadsheets, and databases.
3. Organising and maintaining diaries and making appointments.
4. Screening phone calls, enquiries, and requests and handling them when appropriate.
5. Dealing with incoming post and e-mails and often drafting written responses on behalf of the surveyors to routine enquiries.
6. Devising and maintaining office systems as necessary.
7. Liaising with staff in other offices and with external contacts.
8. Ordering and maintaining stationery and equipment supplies for the office.
9. Sorting and distributing incoming post and organising and sending outgoing post.
10. Organising, storing, and archiving paperwork, files, documents, and computer-based information.
11. Photocopying, scanning, and printing various documents, sometimes on behalf of other colleagues.
12. Assist with invoicing and use of Xero accounting package - training can be provided.
Hours and Salary
Hours: P/T - our client is happy to consider candidates who may wish to work 3/4 full days per week, mornings only, or school hours during office hours Monday to Friday (please note: this position is 100% office-based).
Salary: GBP 24,000 - GBP 26,000 pro-rated, DOE + benefits.
About You
The ideal candidate will have previous secretarial/administration experience, strong organisational skills, and a good level of computer skills including Microsoft Office (Word processing circa 60 wpm / spreadsheets / e-mail).
