The Office & Studio Manager should have a minimum of three years previous experience in an office/venue management role with competent knowledge in Health and Safety.
Salary: £27k - £30K DOE
Hours: FT – 37.5 hours per week
Main Responsibilities:
1. Preparing and maintaining Health and Safety risk assessments for both office and studio space
2. Main key holder for both office and studio space
3. Liaise with HR Manager to ensure all Health and Safety policies and procedures are up to date
4. Conducting yearly HR audit ensuring all H&S procedures are being maintained to ethical standards
5. Delivering staff training on Health and Safety
6. Monitoring and managing the office/studio CCTV system
7. Liaising with Finance Lead regarding cash, card and online payments
8. Main contact for out of hours emergency call outs
9. Managing the intake and outgoings of petty cash tin
10. Acting as Fire Marshall in any emergency exits of the venue
11. Maintaining in house systems including class registration, claim expenses, Health and Safety portal and CRM system
12. Programming and managing studio schedule
13. Ordering and maintaining all office/studio stationery and equipment
14. Delegating relevant administrative tasks to the Admin Assistant
15. Implementing and maintaining procedures/office administrative systems
16. Booking and co-ordinating all accommodation and travel requirements
17. Liaising with Volunteer co-ordinator to ensure efficient running of coffee shop
18. Collating papers for meetings and taking minutes
19. Assisting and/or preparing any reports as requested by senior management
20. Attending meetings with management and Board members
21. Handling of company enquiries, liaising with relevant members, venues and staff ensuring smooth running and co-ordination of classes and events
22. Receiving and responding to calls and passing messages to relevant staff members
23. Responding to email enquiries via the administration mailbox
24. Feeding back on how to continuously improve our carbon footprint
25. Developing, implementing and ensuring accessible information is consistent throughout the organisation
26. Feeding into Marketing Co-Ordinator
