DESCRIPTION
We are looking for BUYING ADMIN ASSISTANT to join our team in our Head Office in Richmond.
JOB PURPOSE
To provide efficient and accurate admin support to the buying team. This includes full sample management, order tracking and critical path management as well as other general admin duties.
Role will be responsible for womenswear accessories, tailoring, coats, leather and denim.
KEY DUTIES AND RESPONSIBILITIES
1. Sample Management
1. Managing the movement of all samples.
2. Ensuring all samples are labelled and accounted for.
3. Preparing the sample collection for internal and external presentations.
4. Ensuring correct samples are handed over for ecom/campaign/marketing.
5. Preparing and labelling weekly best/worst sellers for weekly Trading Meeting.
6. Ensuring the relevant samples are fitted during bi-weekly fit meetings.
7. Attending and engaging in fit sessions – preparing fit lists, writing up fit comments during the meeting, tagging product where necessary and updating range plan following each session.
2. Critical Path Management
1. Continual communication with suppliers keeping on track of critical path.
2. Chasing suppliers where necessary for samples from development through to final production.
3. Ensuring samples arrive on time in order for delivery dates to be maintained.
4. Engage and lead in weekly tracking meetings, presenting back any issues to rest of the team.
5. Regularly checking that suppliers have everything required to meet the delivery date i.e. barcodes, swing tags.
6. Filing and organising all lab dips and swatches in an appropriate manner, communicating approvals to suppliers where required.
7. Understanding the range plan document to ensure details are uploaded onto the system correctly.
8. Liaising with data entry admin to ensure POs are raised in a timely manner and accurately, and that any amendments are actioned.
9. Effectively checking own work to ensure it is correct before sending out to supplier.
10. Updating and maintaining system and range plan accurately as and when changes occur.
3. Brand Awareness
1. Conducting regular competitive shops, and presenting findings back to the team.
2. Visiting stores on a regular basis and making suggestions/recommendations upon return.
