Role Overview
As an Office Administrator Apprentice, you will work closely with the business support teams, gaining first hand experience in various administrative tasks essential for smooth office operations. From reception duties to payroll assistance and resourcing, you’ll be immersed in the core functions that keep our office running effectively.
Key Responsibilities
Reception
• Greeting Visitors - Be the first point of contact for guests, ensuring a welcoming reception area.
• Phone and Email Management - Answer calls, manage enquiries, and direct messages to appropriate team members.
Payroll Assistance
• Payroll Preparation - Assist with payroll preparation by gathering timesheets and attendance records.
• Data Entry - Input payroll data with precision and compliance, using payroll software.
Resourcing Support
• Candidate Sourcing - Use job boards and social media to find potential candidates.
• CV Screening - Learn to review CVs and identify suitable candidates.
• Candidate Outreach - Engage with candidates to discuss opportunities and gather initial information.
Compliance Assistance
• Documentation Management - Maintain organised records of policies and compliance documents.
• Policy Adherence - Support compliance checks and audits across departments.
HR Support
• Onboarding Assistance - Help onboard new hires, prepare materials, and support orientation.
• General Admin - Support the HR team with filing, data entry, and documentation.
Data Entry and Record-Keeping
• Data Management - Enter data accurately and ensure confidentiality.
• File Organisation - Organise and retrieve records, both electronic and paper-based.
• Record Updates - Keep client databases current and accurate.
Customer Service and Communication
• Client Communication - Assist with client and vendor inquiries in a professional manner.
• Draft Correspondence - Prepare emails and letters, building communication skills.
• Customer Support - Help answer customer questions and redirect as needed.
Supporting Office Efficiency
• Office Maintenance - Keep the office tidy and organised.
• Document Preparation - Support with printing, scanning, and mailing documents.
• Project Assistance - Participate in office initiatives that streamline operations.
Learning and Development
• Training Program - Attend training sessions and complete assignments as part of your apprenticeship.
• Shadowing - Learn directly from experienced team members.

Key Skills and Attributes
Qualifications
• GCSEs (or equivalent) in English and Maths.
• Familiarity with basic computer software, especially Microsoft Office (Word, Excel, Outlook).
