To carry out administrative tasks and provide clerical support to the various teams and personnel within the Airworthiness department, thereby contributing to the efficient and smooth-running of the office and organisation.
The Airworthiness Administrator should possess excellent written and verbal communication skills and be personable in their approach, working across departments to help foster team member cohesion. Good organisational, time management, multi-tasking and prioritising skills are also required to manage the workload effectively. Strong computer literacy skills and experience with Microsoft 365 (Microsoft Word, Excel, Outlook, Teams and PowerPoint) are also essential with the ability to create, maintain and update records/documents with a high level of accuracy. Since technology is always evolving, it is important to adapt and implement new tools rapidly so a capacity for learning new skills quickly is also advantageous.
The specific tasks and projects involved are varied and changeable since the role responds to the requirements of the CAM and Airworthiness Manager as they oversee the daily operations of the CAMO and ensure that the ongoing requirements of the business are met. As such, this role supports the management in developing and delivering an effective CAMO and contributes to the excellence of airworthiness management.
Key Responsibilities
The following list of responsibilities is not exhaustive (see ‘Other Duties’ below):
* Schedule and document departmental meetings (Airbus / Supervisors / Reliability etc) on the Centrik Information System; create templates and agendas, take accurate minutes and distribute internally and externally as required. Have good understanding of standard industry terms and abbreviations to do so.
* Proficiently utilise Microsoft Office and PDF Software for document creation and updating e.g. forms, manuals and Company Airworthiness procedures in line with CAA requirements.
* Assist in coordinating various departmental projects and initiatives as they arise, e.g. collation/production of staff Personal Authorisations or team workflows.
* Inform CAA of aircraft registrations and changes of ownership.
* Control the ongoing administration of all Airworthiness Staff Competencies and Personal Authorisations on Centrik. Ensure that all competency forms and records of training are kept regularly updated in line with evolving industry and job role requirements and developments.
* Create in-house training manuals and PowerPoints. Schedule in-house training courses and create and issue in-house certificates as required. Control sharing of the Sofema licenses and issue these external training courses as requested.
* Create job descriptions and On Job Training (OJT) guides.
* Coordinate the recruitment process; evaluate CVs, correspond with candidates and manage managerial calendars to schedule appointments and book interviews and meeting rooms.
* Organise the Onboarding process, e.g.
* Liaise with the IT department to ensure the setup of computer, monitors, desk equipment.
* Ensure 365 permissions are approved and relevant drives and email inboxes have been added (role dependent).
* Have all relevant security and mandatory training in place for new candidates.
* Ensure access/logins have been granted to all required accounts and apps, e.g. Airbus World, ESKI, Centrik, OASES and Keeper etc.
* Carry out DSE assessments as per CPD Online Training Course and in line with the Health and Safety Executive guidance.
* Act as point of contact and support for new starters.
* Attend the Ops daily meeting and feedback relevant Aircraft and Company information to Airworthiness Department via TEAMS channel.
* Liaise with IT support providers to fix any arising Team IT issues. Google issues to support problem solving.
Other Duties
* As directed by the Continuing Airworthiness Manager and as considered necessary to meet the day-to-day, ongoing requirements of the business.
* Remain up to date with evolving aviation regulations and industry standards to enhance safety protocols and ensure compliance in the Airworthiness Department.
CRITERIA
* Previous experience in a personal assistant or administrative office support role.
* Previous aviation experience or knowledge of airworthiness procedures is advantageous.
* Technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
* Strong data processing skills and the ability to take minutes and work with spreadsheets and PowerPoints.
* Flexible with the ability to adapt and trouble-shoot unforeseen issues, providing timely solutions.
* Good organisational and time management skills with the ability to multitask and prioritise tasks efficiently.
* Clear and effective communication skills; both written and verbal with active listening skills.
* Strong interpersonal and teamwork skills with the ability to build rapport and trust with colleagues across the organisation to foster effective collaboration and outcomes.
* Detail-oriented; keeping accurate and up-to-date documentation.
* Right to live and work in the UK.
* Ability to pass Company background and criminal record checks.
