This is a hybrid role, based 2 days a week in our Swindon office. Key Accountabilities: To administer tasks promptly via email, telephone, and post To coordinate the management of Joining Instructions, pre course checks and any other requests to enable Business School delegates to attend and complete required training and assessment days. To assist in collating candidate results and feedback following assessment days To assist in registering candidates with the appropriate organisation, order learning materials and book exam sittings. Monitor and maintain an accurate record of exam sittings and results achieved. To assist in the management of all room, accommodation and travel costs within a pre- agreed budget. Deal with incoming phone calls or queries from Principals/other business areas or Advisers, confidently and competently dealing with the query or escalation. To assist in the management of change of role requests at point of licensing. Liaising with recruitment team, PDM’s and supervisors to ensure that the process runs smoothly. Ensure that the OBS planner is kept up to date with programme changes when they are made and liaise with facilities in a timely manner to ensure support Provide support and co-ordination of events for flagship programmes within the Business School and ensure there is an excellent end to end candidate experience. Provide cover and support for other members of Learning Management Team to provide a seamless service to customer Keep processes documented and updated as required Support with adviser conferences as required Work with the Digital team to provide easily accessible and structured learning opportunities ensuring an excellent learning experience for all users across the LMS To assist in the preparation of materials ahead of workshops, assessments day, induction and onboarding events. Liaise and support Programme Directors of Technical Efficiency and Management & Professional Development and their teams. Build and manage relationships across Head Office and the Network What will you need to succeed? Experience of operating in a busy role Experience of dealing with Openwork Partners / Managers/Advisers Experience of dealing with targets & SLA’s The ability to assess a topic and escalate issues as appropriate. An understanding of the requirements in delivering a high-quality training administration service Business awareness and service orientation Strong attention to detail Pro-active approach to tasks and challenges Good written / verbal communication skills Ability to be able to change priorities on a day-to-day basis Ability to escalate issues that require good knowledge and attention to detail Good working knowledge Microsoft office package; Word, Excel, Powerpoint and Outlook as a minimum Good organisation skills and the ability to manage a range of tasks with conflicting priorities.
