Ador Talent are partnering with a prominent Legal Claims Provider, renowned for specialising in no-win, no-fee claims for individuals. Due to continued growth, the company is now seeking a proactive and highly organised Executive Personal Assistant to support five Senior Directors.
With a nationwide client base, the firm is dedicated to providing exceptional legal services, primarily in the fields of financial mis-selling and consumer issues. The ideal candidate will be a meticulous and efficient Executive Personal Assistant, adept at managing a wide variety of administrative tasks. The role requires a highly organised individual with excellent communication skills and a proactive approach to problem-solving.
Key Responsibilities:
* Effectively manage and maintain multiple executive calendars, ensuring meetings are prioritised appropriately and complex scheduling issues are resolved with sound judgement.
* Coordinate intricate and multi-leg travel arrangements, including accommodations, local transportation, and passport/visa requirements. Proactively anticipate and resolve potential travel issues.
* Manage and organise data from multiple sources, presenting it in formats that facilitate analysis and decision-making. Maintain comprehensive files, inventories, and records across both physical and electronic platforms.
* Handle communication efficiently, including screening phone calls, managing emails, relaying messages, and responding to urgent queries.
* Schedule and coordinate sophisticated meetings, managing attendee communications, venue coordination, audio/video set-up, catering arrangements, and preparation of programme materials.
* Take accurate meeting minutes, ensuring action points are logged, reviewed, and followed up in a timely manner.
* Track and drive the completion of key results, proactively following up on outstanding tasks as needed.
* Collaborate with HR to plan and coordinate company events, fostering employee engagement within budgetary constraints.
* Provide exceptional attention to detail when proofreading and preparing company documents.
* Anticipate and manage potential changes in priorities, maintaining a flexible approach to simultaneous demands.
* Contribute to the company’s reputation by maintaining professional, respectful, and friendly interactions both internally and externally.
* Uphold the strictest confidentiality, handling sensitive information and documents with discretion.
* Complete special projects, assignments, and other duties as required.

* Be highly proficient in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams. The ability to learn and utilise company-specific software is essential.
