As a Personal Assistant (PA) in the Investment, Wealth Solutions UK team, you will work closely with Executive Assistants and other Personal Assistants to provide administrative support to senior members of the Leadership team with diaries, travel, expenses, and any other administrative tasks.
The Personal Assistant needs to acquire extensive knowledge of the organisation. They will need to know who the key personnel are (both external and internal) and understand the organisation's aims and objectives.
All Senior Leaders will rely heavily on the Personal Assistant, trusting that tasks assigned will be handled efficiently and accurately. Discretion and confidentiality are essential attributes for this role. Duties and roles vary every day, so must be flexible and able to work autonomously on occasions.
In this role, you will:
1. Organise and maintain diaries and make appointments.
2. Book rooms and in-house catering for meetings and events, for which attendance in the office on the day to ensure there are no problems will be required.
3. Arrange travel, visas, and accommodation.
4. Reconcile monthly company expenses on the in-house Fusion system.
5. Liaise with other support team members in a friendly, professional, and collaborative manner.
6. Complete mandatory training prior to the due date.
7. Work with the EAs and other members of the support team with Event Planning, Volunteer, and Charity work.
8. Attend and support team offsites, team meetings, and events held in the above locations and support Town Halls where needed.
To be successful in this role, you should meet the following requirements:
1. Proficient in using Microsoft Outlook, Word, Excel, and PowerPoint.
2. Ability to adapt to a wide range of work procedures and operational guidelines.
3. Good attention to detail and the ability to prioritise and work under a tight schedule and pressure.
4. Ability to work on your own initiative.
5. Professional and confidential attitude to the role.
6. Strong organising and coordination skills.
This role is being offered on a hybrid basis with the base location being Birmingham.
