We are currently recruiting for Receptionists to work on our busy front line desks at the Leicester General Hospital and Glenfield Hospital.
There are two vacancies: one being a permanent contract and the other a fixed term contract for 6 months to cover maternity leave. The hours and shifts are listed below:
Leicester Royal Infirmary - FTC to cover MAT Leave
Mon to Fri - 1400-2000 - 30 hours per week
1. Monday: 1400-2000
2. Tuesday: 0800-1400
3. Wednesday: 0800-1400
4. Thursday: 1400-2000
5. Friday: 0800-1400
6. Saturday: 0800-1630
7. Sunday: 0800-1630
We are looking for a well-organised person with excellent interpersonal skills to work on our Frontline Desks. You will be the first point of contact for all visitors that come to the Reception Desks. It is essential that you have excellent communication skills, a good telephone manner, and look presentable. Experience of working in a customer-focused environment or similar role is required, together with GCSE English & Maths and accurate keyboard skills. Flexibility is needed particularly during your first weeks of employment when you will need to attend training sessions and shadow other staff members.
Main Duties of the Job
1. Be competent to use IT and software associated with working on reception after training.
2. Maintain necessary skills and undertake relevant training to fulfill your role and personal development.
3. Complete and update Trust Mandatory Training.
4. Support services and customer care.
Job Responsibilities
The job role will be in the Main Reception of one of three acute hospitals within the Trust to provide a friendly and efficient service to all patients and visitors who attend the site.
1. Ensure, where appropriate, visitors sign in and provide identification badges where required.
2. Key control responsibilities, issuing and maintaining a key log.
3. Provide a prompt, efficient, polite telephone service, directing calls accurately and providing information as required.
4. Undertake a variety of general office duties, including typing, filing and changing server backup tapes on a daily basis where required.
5. Report complaints and incidents adhering to policies and procedures.
6. Monitor access, CCTV functions where installed.
7. Test and coordinate personal alarm systems when required.
8. Report incidents or issues occurring in the car park and administer parking permits where applicable.
9. Receive and sort internal and external post with franking of post where required.
10. Coordinate the delivery and collection of lab samples via trust van drivers or couriers where required.
11. Accept, check, and distribute deliveries.
12. Coordinate and book rooms for meetings and any necessary equipment or preparation that may be required.
13. Log and report any defects/faults to the environment/equipment.
14. Order stock, printer/photocopier toners, and any stationery that may be required.
15. Organize patient transport and reimburse monies where applicable, and maintain logs for audit purposes.
16. Coordinate appointments where applicable.
17. Fire warden responsibilities, ensure fire checklist form and walk rounds are completed.
18. Provide cover for colleagues for annual leave and sickness as required.
19. Raise alarms and lock down site following procedures in an emergency situation.
20. Unlock/secure and deactivate/set alarms in the reception area and building where applicable.
21. Maintain a high standard of personal hygiene and presentation in compliance with Trust uniform policy.
22. Observe confidentiality of patients and employing Trust's business at all times.
23. Work as part of a team to deliver service continuity at all times.
24. Comply with Health and Safety policy and procedures to ensure a safe environment for employees, visitors, and patients.
25. Carry out any other duties as may be reasonably requested.
