Job Summary We are looking for a motivated and talented Fundraiser to join our Fundraising Team. Working closely with our Fundraising Team, you will provide advice, encouragement and support to individuals, groups and schools organising external fundraising activities and events in aid of the Hospice. You will plan, manage and co-ordinate specific aspects of delegated Hospice led fundraising events and campaigns and undertake a range of logistical and administrative functions in order to provide effective support to the Fundraising team. Duties and Key Responsibilities Provide advice, encouragement and support to individuals, groups and schools organising external fundraising activities and events in aid of the Hospice. Ensure supporters are provided with information and materials to enhance their fundraising activities and receive a consistent level of service from the fundraising team. Motivate and encourage new and existing supporters from the local community with their fundraising requirements. Implement specific aspects of fundraising campaigns and activities. Coordinate the administration, project management, promotion and logistics management of a range of activities and campaigns within the Hospice fundraising programme. Maximise the Hospice profile and public awareness of the campaign through liaison with media sources, production of publicity materials and active use of the Hospice website, in order to ensure high levels of participation and giving from the public. Take an active role on a daily basis of dealing with face to face and telephone enquiries from the general public and community groups regarding proposed and planned external fundraising activities and events, directing and prioritising enquiries as appropriate, delivering a high level of customer service and aiding the effectiveness of the team and department. Record and input all key details and information of individuals and groups organising external fundraising activities and events in aid of the Hospice to the fundraising customer relationship management (CRM) system. Support the maintenance and development of the system extending the registered donor information held in relation to fundraising. Utilise the system to help inform future marketing of and support for fundraising and to generate communications and correspondence. Communicating online and on social media with our supporters to ensure they are acknowledged and thanked for fundraising activities. In conjunction with the communications team, design and produce effective promotional materials, ensuring that materials are tailored to target audiences and communicate clear messages to generate support and/or raise the profile of the Hospice. Materials should be prepared in accordance with Hospice branding guidelines and communication standards and produced to a high standard. Prepare marketing information for inclusion on the Hospice website. Promote opportunities within the local community to donate and organise external fundraising activities and events in aid of the Hospice. Recruit, inspire and motivate outreach volunteers to fundraise and organise events. Support liaison with volunteer fundraisers on an on-going basis, co-ordinating all planned contacts, outreach volunteer development activities and all formal acts of recognition & affirmation. Promote the work of the Hospice within the community by undertaking presentations to community groups and schools at minimum of a monthly basis to explain the work of the Hospice and the fundraising department, using approved corporate or departmental presentations. Make use of appropriate visual aids such as the hospice mascot Agent H to maintain optimum engagement of young people. Promote opportunities for groups and organisations to donate to or raise funds in aid of the Hospice or to participate in a future Hospice fundraising event or activity. Administer the placement, distribution and collection of Hospice charity collection cans. Identify new venues and events where collection cans could be placed. Ensure collection cans are issued, collected and emptied in a controlled and secure manner and a relevant log/record maintained of the process. Co-ordinate volunteer input to support the distribution and collection of cans, providing advice and guidance to volunteers as required. Provide administrative support for the scheduling and maintenance of the diary for external cheque/funding presentations and liaison with staff or Board representatives to attend presentations. Collate income & expenditure records for external fundraising activities and produce routine reports to the Fundraising Manager on performance against agreed performance indicators. Receipt and process all cash donations and fundraising income received through the fundraising office ensuring all cash handling and counting is undertaken in line with Hospice cash handling and security procedures. Prepare all cash for onward transfer to the finance team, completing relevant supporting financial records. Co-ordinate the input of volunteer staff at fundraising events, ensuring appropriate manpower resources (employed & voluntary) are available to effectively support and execute each event. Determine work priorities for supporting volunteer staff and delegate work and tasks to volunteers as appropriate. Provide support to the lottery collectors regarding their round sheets and cash collections. Support with general office duties including, answering phone, answering the door and dealing with enquires and opening mail when required. Personal Specification Requirement: Essential / Desirable, Assessment (Application / Interview) Education / Qualifications SVQ II qualification (or equivalent) in Customer Service or Administration or relevant experience in a Customer service role: Essential (A) Knowledge / Experience Demonstrable knowledge and experience of office administration processes and practices, database management, customer service and direct sales is essential: Essential (A/I) Basic knowledge and skills in project management, producing promotional materials and financial processes including cash handling & management: Essential (A/I) Demonstrable experience of working in a fundraising environment and dealing with donors and the general public is desirable: Desirable (A/I) Ability / Skills Good communication skills – written and oral. An ability to communicate confidently and clearly to a range of diverse audiences: Essential (A/I) Proficiency in a range of computer applications, particularly databases, email and word processing: Essential (A/I) Previous experience in dealing with face to face contact with customers and the development of positive customer relationships is essential.
