Our client, a family-owned and expanding organisation, is seeking a proactive and highly organised Personal Assistant (PA) to provide exceptional support to the Managing Director (MD) and Commercial Director. This fast-paced role requires a confident communicator who can anticipate needs, manage a variety of responsibilities, and ensure the smooth operation of business and personal tasks.
Personal Assistant to Managing Director and Commercial Director
Key Responsibilities
* Diary Management: Manage complex calendars for the MD and Commercial Director, ensuring seamless scheduling of meetings, appointments, and ad hoc travel arrangements.
* Personal Appointments: Organise personal appointments to support work-life balance.
* Communication: Act as the first point of contact, handling phone calls, emails, and correspondence, including inbox management and drafting responses.
* Meeting Support: Prepare agendas, take minutes, and track follow-ups from meetings.
* Networking Coordination: Oversee contacts and networking opportunities, aligning them with business priorities.
* Travel Coordination: Arrange domestic and international travel for both personal and business needs, including flights, hotels, and itineraries.
* Administrative Support: Prepare reports, presentations, and documents while maintaining an organised online filing system.
* Confidentiality: Manage sensitive information with the utmost discretion and integrity.
* Project Assistance: Support ongoing projects by tracking progress, managing deadlines, and liaising with stakeholders.
* Office Management: Ensure smooth daily office operations, including ordering supplies and coordinating with facilities management.
* Client Relations: Manage client and stakeholder relationships, including organising events and hospitality.
* Ad hoc Duties: Assist with personal errands, household staff coordination, property maintenance, and special projects as required.
Requirements
Experience: Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives.
Skills:
* Strong organisational and multitasking skills.
* Excellent written and verbal communication with attention to detail.
* Proficient in Microsoft Office Suite and online tools such as SharePoint.
* Ability to work under pressure while maintaining professionalism.
