Key Responsibilities:
Main Purpose of Job:
The primary purpose of the role is to support and deliver the management of service contracts, maintenance and repairs of laboratory equipment, working with a high degree of accuracy and dependability.
The role will involve working on a variety of assignments of moderate difficulty that will require judgement in resolving issues or making recommendations.
The Senior Laboratory Services Administrator will use their experience and knowledge to work independently, whilst also working collaboratively within the Laboratory Services Team and with colleagues across the company, to ensure tasks are completed in a timely manner to minimise disruption and equipment downtime.
1. Monitor and triage the shared mailbox / ticketing system, highlighting business and safety critical tasks as urgent.
2. Use the asset management software to track equipment warranties, service contracts, service dates and engineer visits.
3. Ensure data in the asset management software is up-to-date, accurate and consistent for all laboratory equipment.
4. Co-ordinate the setup and renewal of service contracts for laboratory equipment, liaising with scientific researchers and external parties as appropriate.
5. Obtain and review quotes and scopes of work, seeking advice from relevant stakeholders where appropriate.
6. Organise the timely repair of lab equipment, liaising with end users, the wider Facilities Team and service providers as appropriate.
7. Schedule engineer visits into the departmental shared calendar.
8. Liaise with end users and the wider Facilities Team to ensure building access and authorisations to work are completed and available ahead of engineer visits.
9. Ensure the receipt of service reports and upload to the asset management software.
10. Review service reports for completeness and recommended remedial works, feeding back to end users and arranging follow-up work as agreed.
11. Raise purchase orders and approve invoices for goods and services received, liaising with suppliers and the Finance team to resolve any discrepancies.
12. Inform the Laboratory Services Manager of any discrepancies in costs or service levels, or breaches of contract.
13. Actively participate in team meetings.
14. Regularly interface with colleagues across the company, occasionally taking the lead in discussions.
15. Support other functions within the department as required.
16. Positively engage in company-wide initiatives such as the Sustainability Forum.

Education, Experience and Knowledge:
Essential Experience:
1. Typically requires a minimum of 4+ years of related experience.
2. Previous laboratory experience and familiarity with laboratory equipment, preferably within biotech / pharma or similar.
3. Ability to follow processes and maintain accurate records.
4. Ability to work independently and within a team, seeking clarification or support when required.
5. Strong written and verbal communication skills.
6. Experience of arranging the service and maintenance of laboratory equipment.
7. Ability to develop and maintain good working relationships with internal stakeholders and external suppliers.
8. Ability to manage multiple tasks and execute in a timely manner to a good standard.
9. Competent in the use of Microsoft Office (Word, Excel, Outlook).
Desirable Experience:
1. Familiarity with asset management software.
2. Management of laboratory equipment service contracts.
3. Experience of troubleshooting problems with laboratory equipment.
Preferred Qualifications:
A-Level or equivalent.
Other:
This job operates in a professional office and laboratory environment. This role routinely uses standard office equipment such as computers, telephones and photocopiers, as well as various software packages.
This is an on-site, full-time position based at our Milton Park site. The standard work pattern is Monday-Thursday 09:00-17:30 and Friday 09:00-16:15, with an unpaid lunch break of 45 minutes each day.
