We are a fun and dynamic agency looking for an experienced Event Manager to oversee, organise and deliver events including conferences, meetings and product launches across some key accounts. THE COMPANY
This amazing new opportunity is for our full service events and venue finding agency based in Marlow, Buckinghamshire. Working across multiple sectors including retail, IT communications and business telecommunications we deliver creative events and bespoke solutions both across the UK and internationally.
We are currently a team of 5 and share our office with our sister production company, so you will be working as part of a close-knit team giving you a great opportunity to be involved in every aspect of the business.
DUTIES
The range of duties will include:
1. Event Planning & Coordination: Lead the planning and execution of all event elements, including logistics, venue selection, venue management, and event timelines. Ensure seamless coordination of all aspects of the event from concept to completion.
2. Client Liaison: Act as the primary point of contact for clients, ensuring their vision and goals are understood and executed flawlessly. Provide regular updates, offer solutions to challenges, and manage client expectations.
3. Venue Finding & Proposal Writing: Have a varied knowledge of UK venues to propose to clients based on their event brief and budget constraints. Write proposals in PowerPoint in a timely manner, attend site visits with clients and contract accordingly.
4. Team Leadership: Supervise a team of event coordinators, and external vendors whilst on-site on events. Provide guidance and support to ensure team members deliver high-quality results within deadlines and budgets.
5. Delegate Management & Registration Sites: Have experience in using registration sites, manipulating large data files in Excel in order to produce appropriate and relevant information for the event e.g. delegate list, accommodation.
6. Budget Management: Develop and manage event budgets, ensuring cost-effective solutions without compromising quality. Track expenses and prepare financial reports for clients.
7. Venue Management: Source and manage relationships with venues, suppliers, and other event stakeholders. Negotiate contracts and ensure service delivery meets expectations.
8. AV Management: Have an understanding of basic AV and the implications it has on events.
9. On-Site Event Management: Oversee on-site event operations, manage staff, troubleshoot problems, and ensure everything runs smoothly. Supervise event set-up and breakdown.
10. Post-Event Evaluation: Conduct post-event analysis, gather feedback from clients and attendees, and provide recommendations for improvement. Ensure timely invoicing and financial reconciliation.
11. Continuous Improvement: Stay up-to-date with industry trends and best practices, and propose innovative ideas to enhance event experiences.
THE CANDIDATE
The ideal candidate will be from an event agency background, experienced in delivering a range of corporate events from start to finish and have a proven ability in managing and reconciling budgets. This role requires a strategic thinker with a keen eye for detail, excellent communication skills, and a passion for delivering exceptional client experiences.
Key Responsibilities:
1. Experience: A minimum of 2-3 years in an event manager role overseeing complex events with a minimum of 300 people.
2. Leadership Skills: Proven ability to lead and inspire a team, managing multiple projects simultaneously in a fast-paced environment.
3. Strong Communication: Exceptional written and verbal communication skills, with the ability to build relationships with clients, venues, and internal teams.
4. Organisational Skills: Strong attention to detail and excellent time management skills to ensure all elements of the event are delivered on time and within budget.
5. Creative & Strategic Thinking: Ability to think creatively to deliver innovative solutions for clients, while also considering logistics and practicalities.
6. Budget Management: Experience managing large event budgets and a clear understanding of financial tracking, forecasting, and reporting.
7. Flexibility & Problem-Solving: Ability to adapt to changing circumstances and solve problems quickly and efficiently during event execution.
