Senior Pharmacy Homecare Assistant, Band 3

An enthusiastic and hard working person is required to work within the pharmacy homecare team at Gloucestershire Royal Hospital.
Main duties are based in the pharmacy homecare office, processing of homecare prescriptions and invoices, and maintaining patient records for homecare medications. This will involve reviewing prescriptions to ensure they are fully compliant before scanning and posting them to external homecare providers. You will also use the pharmacy computer system to produce purchase order numbers for each prescription and check invoices against these orders ready for payment. You will also book out (but not dispense) medication to patients via the pharmacy computer system so that divisions are charged appropriately. You will be required to maintain accurate records of prescriptions and invoices on the computer system and in a format that information can be accessed efficiently. Post holder will be required to process invoices and pass for payment to creditors.
You will be required to answer the phone on a regular basis and this will mean that you will need to communicate with patients, healthcare professionals and homecare provider staff.

Job responsibilities
1. Follow processes and procedures to review homecare prescriptions against standard prescriptions or a patients last prescription to ensure they are completed fully and any changes are appropriately sanctioned. To use judgement as to who to contact if discrepancies are identified (this could be a secretary, nurse, doctor, consultant, pharmacist, homecare lead or any other appropriate healthcare professional).
2. Follow processes and procedures to communicate prescriptions for homecare medicines to suppliers by the most appropriate means (depending on their nature and urgency) either telephoning, scanning or by using electronic data interchange (EDI), taking into account the suppliers ability to supply and the needs of the patient.
3. To check all invoices against the original prescription to ensure the trust has been charged appropriately and if discrepancies arise to raise with homecare provider and arrange credit notes if appropriate.
4. To process all invoices, ensuring all financial information are processed in accordance with the Trusts standing financial instructions and standards for public bodies.
5. To ensure all homecare medication is booked out to the appropriate issue point so that divisions are charged appropriately and they are able to see accurate homecare issues.
6. To liaise with Medicines Purchasing Manager and suppliers regarding outstanding orders, and to resolve problems regarding deliveries.
7. To collate all documentation relating to homecare prescriptions and invoices on a daily basis. To open, determine appropriate action and file all mail and correspondence relating to Pharmacy Homecare.
8. To ensure the homecare providers have accurate information relating to patients and medications so that they are able to provide a good service to patients.
9. To ensure patient confidentiality is maintained at all times concerning issues of business sensitivity and patient confidentiality, and ensure documentation is stored and disposed of in accordance with trust procedures.
10. To ensure invoices are processed in a timely manner and are passed for payment through to GHFT creditors.
11. To assist in development of homecare policies and procedures
12. To ensure the workload is completed to an appropriate timescale by distributing tasks appropriately between all members of the pharmacy homecare office.
13. Work with homecare provider creditors to log invoice queries and ensure resolution in timely manner
14. To undertake any other duties that may be reasonably required.
Person Specification
Experience
* Extensive hospital pharmacy experience
* Working as part of a multi-disciplinary team
* Experience of training others
Knowledge/ Skills
* Advanced training in excel and other Microsoft programmes
* Knowledge of computer systems and be familiar with various pharmacy IT systems
* Able to manipulate and analyse figures, with good numeracy skills
* Adaptable and willingness to learn new skills
