Job purpose: Reporting to the Maintenance Manager, you will be responsible for the day-to-day administration tasks within the maintenance department. Ensuring all works are completed in accordance with customer contracts and agreed SLAs. Proactively build relationships with clients to gain their trust and ensure delivery of the highest levels of service. Attributes required: • Proficient in English both written and verbal • Good IT skills essential • Proactive with exceptional organisational skills • Experience in a customer service environment • Excellent communication and interpersonal skills • Minimum of 1 years office experience • Experience of using joblogic software beneficial • Experience in a similar role within a maintenance environment beneficial • Experience in scheduling beneficial Roles and Responsibilities: The role is primarily, but not limited to, the following activities: • First contact for all customers therefore must have outstanding customer service skills • Work closely with engineers and support them to ensure they can deliver the highest levels of service to the client • Plan and confirm client visits accurately, including raising permits • Monitor inbox to ensure emails are actioned and replied to in a timely manner • Ensure all customer portals are updated daily • Prepare and send customer reports • Ensure that all maintenance attendance F-Gas records have been correctly completed and job sheets updated • Prepare remedial quotations in a timely manner and send to clients for approval including any relevant reports • Assist team members as required to ensure department workload is shared during busy periods • Learn all service team activities to cover for absences or help others when required • OOH working, including evenings, weekends, bank holidays and Christmas – all on a rota basis • Perform other reasonable tasks as requested that helps the company meet its objectives. • Take ownership of your own client’s P&L and liaise with sales executives. • Building good relationship with sales executives to raise tenders Following successful completion of your probationary period the following benefits will also apply: • Pension • BUPA Private Medical with 50% employer contribution • Death in service benefit • Your birthday off paid • Cycle to work scheme • Christmas party and other events throughout the year • Paid Volunteering Days • Recommend a Friend Scheme • Long Service Award
