Essence of the role (Role’s Purpose):
The Payroll Specialist will be responsible for Piping Rock’s full cycle payroll process across multiple facilities and states. The successful candidate will have prior experience managing all aspects of payroll, general payroll tax compliance knowledge, as well as demonstrated analytical abilities.
Recipe for Success (Responsibilities):
1. Complete weekly and bi-weekly payroll processing from start to finish.
2. Develop and implement payroll policies based on Company needs, and ensure payroll policies are accurately applied.
3. Ensure and maintain tax compliance during payroll processing, including accurate calculation and timely submission of payroll taxes.
4. Stay up to date with payroll processing systems, industry best practices, and evolving wage and tax laws at the federal, state and local levels.
5. Monitor flow and approval of time sheets.
6. Process all child support, garnishment, and 3rd party pay notices.
7. Process all data changes not limited to new hires, terminations, salary adjustments, position changes.
8. Coordinate all aspects of 401(k) plan as relates to payroll including associate deferrals, loans, payroll contributions, and continuous auditing.
9. Support all Piping Rock locations with payroll questions/processing when needed.
10. Ensure proper registration of employees’ working states including withholding and unemployment accounts and maintain any state reporting/documentation requirements.
11. Audit payroll deductions and ensure accuracy.
12. Collaborate with HR team to maintain and enhance internal payroll procedures.
13. Maintain all payroll supporting records.
14. Support business by providing requested payroll reports and analysis.
15. Handle payroll audits, tax audits, reconciliations, and payroll related projects as they arise.
16. Investigate and resolve payroll discrepancies.
17. Document and maintain procedures and checklists for payroll functions.
18. Participate in overall maintenance of HRIS.
19. Back up support to HR Connect.
20. Support HR Department with various projects and responsibilities, as necessary.
Ingredients Required (Qualifications):
1. 5+ years of complete payroll cycle administration.
2. Working knowledge of federal and multi-state regulations and applicable tax laws.
3. Proficiency in technology and experience using various HR platforms including timekeeping and payroll processing systems.
4. General knowledge of human resources management policies and regulations.
5. Bachelor's degree in Business, Human Resources, or similar field preferred.
6. High attention to detail, ability to multi-task, prioritize, and work in a fast-paced environment.
7. Effective organizational and interpersonal skills including strong written and verbal communication skills.
8. Ability to always maintain a professional demeanor.
9. Ability to handle confidential information in a sensitive manner.
10. Proficient in Microsoft Office.
11. Must comply with GMP requirements; specific functions and documents will be discussed in GMP and on the job training.
This role is a hybrid position with the possibility to work up to 2 days per week remote, after successful training.
