Overview
We have a fantastic jobopportunity for an Administrator to support our Human Resourcesdepartment. We are looking for someonewith excellent organisational skills and the ability to manage avariety of administrative tasks efficiently.This role does not require prior HR experience butprevious administrative experience is essential. Full training willbe provided.
As an Administrator you will be responsible forprogressing a variety of business administrative tasks that arelinked to the employee lifecycle. You willneed to be a motivated and organised individual who enjoys workingin a busy environment and can prioritise taskseffectively.
Duties &Responsibilities:
* First point of contact for telephoneenquiries
* Coordinating theordering and distribution of uniforms for new staff and processingrequests for replacement items for current staff. This includesmanaging stock levels liaising with suppliers and ensuring timelyprocessing of related invoices
* Handling all incoming and outgoing mailensuring timely distribution and dispatch
* Handlingportalrelated employee queries and ensuring all requests areprocessed accurately and efficiently within setdeadlines
* Document management and filing ensuring accurate filingboth digital and hard copy of key administrative documents.Maintaining organised and uptodate records supporting documentretrieval when required and ensuring compliance with documentretention policies
* DocuSign account maintenance: Overseeing the DocuSignaccount ensuring that electronic document workflows (sendingreceiving and tracking signatures) are managed effectively. Thisincludes troubleshooting any technical issues and ensuringdocuments are processed in a timely manner.
* Administrativesupport for HR processes: Assisting the HR team with a range ofadministrative tasks to ensure the smooth running of thedepartment. This includes scheduling meetings preparing documentsand assisting with any ad hoc projects that require administrativesupport
* Processing invoices (such as uniform orders) ensuringtimely approval and payment. Liaising with external suppliers toensure service levels are maintained and resolve any issues thatarise
* Providing overall administrative support to the HRdepartment including photocopying scanning and maintaining officesupplies
Requirements
* Excellent organisational skillswith strong attention to detail
* Ability to multitaskand prioritise your workload effectively
* Strong IT skillsincluding Microsoft Word PowerPoint Excel and Outlook
* Experience inmaintaining manual and computerised filing systems
* Ability to maintainstrict confidentiality and comply with GDPRrequirements
* Strong written communication skills includingprofessional email correspondence
* A team player with apositive and flexible approach to work
* Calm and resourcefulable to handle pressure in a busy work environment
* Previous experienceof providing effective administrative support to a busy team isessential
