The HR Administrator Apprentice provides administrative support to the HR team across the full range of HR work. Working as an apprentice administrator the post holder will be responsible for all HR administration, including receiving new starter documentation, ensuring that staff files are up to date, are compliant and ensuring the organisation meets its statutory legal requirements (Government Contractual requirements, OFSTED, BC, ISI, requirements).
Responsibilities
1. Carry out all the administrative processes in the recruitment process, for example, prepare recruitment documents, draft, and place adverts, monitor, and administer relevant tests, coordinate rejection, and offer letters.
2. Ensure that the HR service complies with safer recruitment practices and compliance including conducting BPSS checks, DBS checks, reference checking and right-to-work checks.
3. Administer the process for new employees and interns, for example, prepare contracts, and offer letters, process all pre-employment checks, register starts on payroll, and prepare badges.
4. Ensure the Single Central Record is always up to date and compliant.
5. Assist in ensuring payroll is processed correctly, working with the Recruitment Business Partner to ensure the pay sheet reflects changes to staff terms.
6. Twin Group HR and departmental Induction preparation.
7. Administer the probation process ensuring Managers know when review meetings need to take place.
8. Provide advice to users on HR systems including resolving or supporting the resolution of problems related to the operation of the HR system.
9. Support the development of the HR systems. This is to include training users to understand and use system modules.
10. Assist in arranging and taking part in presentations and training staff in the operation of the HR system regularly.
11. Ensure that the HR database correctly reflects the current staff conditions and details by recording new hires, transfers, terminations, changes in job classifications, tracking annual leave, sick, and personal time.
12. Develop and maintain administrative systems and procedures to provide administrative support for HR projects. For example, arranging meetings, collating, and circulating papers, preparing statistical reports, entering data on IT systems, and following up action points.
13. Carry out general administration tasks for the HR Department, for example, telephone answering, devising standard Human Resources documents and letters and managing the HR inbox.
14. Respond to reference requests for current or ex-members of staff in line with the Department Service Level Agreement.
15. Ensure electronic personnel files are maintained and filing (including scanned documents) are completed promptly.
16. Ensure up-to-date and complete bank of job descriptions/person specifications are maintained.
17. Take minutes at HR meetings and staff meetings (grievance/disciplinary and general) as required.
18. Ensure resignations are acknowledged promptly, the Line Manager is aware of the process and any outstanding annual leave is calculated in accordance with the employee’s terms and conditions.
19. Ensure exit interviews are conducted for all staff.
Education / Qualification
1. GCSE 4-9 in English, Maths (desirable)
2. Understanding of IT and Microsoft Office

1. Excellent time management skills and a keen eye for detail.
2. An understanding of working within a busy administrative environment.
3. Customer service experience.

Additional Information
Salary: Meets national minimum apprenticeship rate for the first year of the programme.
Location: Greenwich / Hybrid
Contract: Business Administrator Level 3 Apprenticeship with HR responsibilities - Full Time – This will be a fixed term for the apprenticeship period of 15 months with a view to becoming permanent on completion.
Hours: Monday to Friday 09:00 – 17:00 with the equivalent of 1 day per week towards off-the-job training.
