As our Executive Administration Officer, you will be at the heart of our organisation, ensuring the smooth flow of executive operations with precision and professionalism. You will handle high-level communications, build and nurture strong relationships with key stakeholders, including Board Members, Senior Leaders, government representatives, advocacy groups, and external partners - and anticipate the needs of those you support with a proactive, solutions-focused mindset. This part-time role requires 30 hours per week, with the flexibility to distribute the hours over four or five days. As an onsite position, this role is based at Scarborough, fostering collaboration and direct engagement with our team and community. Key Responsibilities: Coordinate and manage meetings and events, handling all logistical aspects seamlessly to support our strategic themes of People, Presence, and Partnerships. Utilise Office 365 to streamline processes and enhance efficiency for the Chairman and Executive Director. Prepare high-quality minutes, documents, reports, and presentations that reflect our commitment to integrity and transparency. Maintain strict confidentiality and discretion of sensitive information, ensuring privacy and trust. Foster a collaborative and supportive office environment, aligning with our SONA® values. Skills And Experiences The knowledge, skills, experience, and professional qualifications for this role are: Qualifications: Certificate IV in Business Administration or equivalent (Diploma desirable) or equivalent relevant experience. Experience: Minimum 5 years' experience in a relevant executive support role, preferably in the not-for-profit sector. Confidentiality: Maintains strict confidentiality of sensitive information, ensuring privacy and trust. Communication Skills: Excellent interpersonal and verbal communication skills. Technical Skills: Advanced knowledge and application of the Office 365 suite. Administrative Skills: Superior administrative skills, particularly in accuracy, multitasking, system management and attention to detail. Writing Skills: Highly developed writing skills and the ability to prepare professional correspondence. Time Management: Demonstrated ability to prioritise tasks, meet deadlines, and manage multiple projects.
