Job Description What you will be doing: The role is sat within our Brand Experience Division at Wasserman Live, working on a Supermarket brand to deliver multiple experiences up and down the country, with particular focus on local store marketing. You will support the planning of these brand experiences, working with the Account Manager and Account Director. You will be involved in the project planning from start to finish, onsite activation and event management, budgeting, feasibility and administration. You will take part in brainstorms, be creative and share ideas, calling on any industry knowledge, be able to support in creating presentations. General Role Responsibilities • Ensure that work produced meets all objectives set, is done by the agreed time to the highest standard and achieves the best possible results for the company and client • Assist in the development of creative ideas, undertaking research as requested to ensure they are possible to implement within specific parameters and budget • Be involved in the research and feasibility of ideas generated • Oversee the sourcing, purchase and management of suppliers, quotes and detailed information • Assistance with financial elements of accounts – budgeting, PO’s, supplier invoicing/cost management • Project Management: ensuring project systems and procedures are setup and structured correctly, ensuring all relevant data is entered concisely onto Wasserman Live’s client management system (Quest) • Compiling and writing client responses and presentations • Efficient meeting management, preparation and write up of notes and actions • Supporting all operational and administrative functions to ensure each event is delivered efficiently • Maintaining good communication and reporting • Compiling and maintaining project reports, job sheets and schedules • Managing supplier relationships • Thorough and concise event reporting and management of data capture • Responsibility for creation of risk assessments and method statements Specific Role Responsibilities • Collaborate with client’s regional teams to gather information and coordinate event details. • Oversee stock levels and process orders for collateral items as needed. • Schedule staff shifts and manage event bookings efficiently. • Liaise with internal departments to secure event crew and resources. • Track and manage event-related costs, ensuring budget adherence. • Oversee budgeting and financial planning for events. • Maintain and update multiple spreadsheets, ensuring accuracy through thorough cross-checking. • Communicate with suppliers, raise purchase orders (POs), and manage procurement processes. • Work with Lidl’s internal teams to facilitate the creation of event vouchers. • Serve as the primary point of contact for event-related queries. • Utilise client’s WorkstreamX software to provide regional teams with regular updates on event progress.
