Description
Jefferies is seeking an Event Coordinator to assist with the firm’s internal events, hosted client events, deal-related events, sponsorships, and event tickets. Hosted events include but are not limited to client meetings, lunches, dinners, cocktail receptions, speaker series, sporting events, multi-day outings, and seminars. The coordinator would work with various business groups in EMEA and Asia Pacific to successfully execute these events.
The Corporate Event Coordinator will be based in London and will report into our EMEA Head of Events. They will handle corporate event needs for Equities, Fixed Income, Investment Banking, Corporate, and Asset Management across Europe, Asia, and Australia and will work in close collaboration with regional senior business managers, COOs, and stakeholders globally. The wider events team and Global Co-Heads of Events are based in Jefferies head office, located in New York.
Key Responsibilities & Tasks
1. Comprehensively coordinate a range of events and sponsorships, taking place across EMEA and APAC.
2. Prepare program specifications (room setup, AV, catering, name tags).
3. Manage the development of invites, event signage, and firm branding in partnership with the marketing team.
4. Financial management and negotiation of event budgets.
5. Handle the submission of contracts and legal review – ensure that we are following proper signatory procedures.
6. Negotiate with and contract vendors (i.e., venues, hotels, ground transportation, entertainment, décor, etc.).
7. Oversee event execution, and ensure each is maximized and accurately reported upon.
8. Work onsite at various events when necessary, to include some global travel opportunities.
9. Maintain and grow relationships with internal and external stakeholders, vendors, and suppliers.
10. Measure and report on event statistics and budgets to business stakeholders.
11. Manage team administrative functions, including monthly expense reconciliation and vendor directory.
Qualifications/ Experience
1. The following skills and experience are required for this role:
2. 3+ years of event planning experience preferred.
3. Experience of working in, or with, the financial services industry a plus.
4. Superior organization and adaptability skills.
5. Quick learner who is highly motivated and a proactive self-starter.
6. The ability to work cohesively in a team, as well as independently.
7. Ability to manage multiple high-level, time-sensitive projects simultaneously with superb attention to detail.
8. Able to manage workloads effectively as a member of a global team across multiple time zones.
9. Strong interpersonal and communication skills (verbal and written).
10. Proficient in Microsoft Office, Microsoft Teams, and Zoom.
11. Knowledge of Cvent and Meetmax a plus, but not essential.
