An exciting opportunity has arisen within the Gastroenterology Department at West Herts. We are looking for a motivated Secretary / Waiting List Coordinator to provide the administration for the Telephone Assessment Service based at Hemel Hempstead Hospital.
The candidate will need to be able to multitask as the role covers a range of tasks and responsibilities including booking endoscopic procedures. The successful applicant will possess a high level of concentration to ensure accuracy and be able to work using their own initiative.
Please note this post is for an 11 month fixed term contract/secondment ending 15thJan 2026.
The working hours for this post are Monday to Friday,09.00 – 17.00 with a 30-minute lunch break.
The role is based at Hemel Hempstead Hospital with occasional cross site cover required.
Working as part of small admin team, aspects of the role include co-ordinating nurse led telephone clinics by adding and removing clinics / slots, booking telephone assessment appointments and arranging endoscopic procedures.
We are looking for someone with excellent organisation and communication skills as well as advanced IT knowledge to be able to meet deadlines and targets.
The post holder will work closely with the Nurse Endoscopist team and other clinical / non-clinical members within the Gastroenterology Department.

Monitor the colorectal two week wait referrals by using eRS (Electronic Referral System) to ensure referrals are printed and triaged by specialist nurses in a timely manner and accepted for the Telephone Assessment Service.
General office processes appropriate with secretarial responsibilities including photocopying, filing, sending and sorting post, sending emails and responding to queries.
To manage the urgent/routine referrals by booking telephone clinics by identifying slots, booking/rebooking appointments and ensure there is enough capacity.
Booking appropriate and relevant endoscopic procedures in line with the 2 Week Wait Referral guidelines and 6 week diagnostic pathway.
Closely monitor number of referrals and bookings to ensure there is enough endoscopy slots to avoid breaching. Ensure that lists are fully booked and that any spare slots are handed over to avoid wasting capacity.
Book virtual clinic appointments to ensure the patients results are follow up by specialist nurses.
Create TAS Summary, Cancer Pathway and Diagnostic datasets using Infoflex System and manually enter data to record the referral date and first offered date for assessment.
Record attendance and disposal for all telephone and virtual appointments on PAS and discharge patients from service and close pathways.
