Ward Receptionist Paediatric Assessment Unit Northampton General Hospital Trust
Part Time 30 hours per week to work on a mix of shifts over the week 9am-3pm or 3pm -9pm during the week and 10am-6pm weekends.
We are looking for an enthusiastic, hardworking and motivated person to join our team on the Paediatric Assessment Unit which is a busy unit taking referrals from GP's, A and E and Open Access.
Main duties of the job
You will often be the first point of contact for patients and relatives who come to the unit so should have a pleasant and welcoming personality. You will be required to work closely with the nursing, medical, supporting clinical staff and therapists to provide an efficient and effective service.
As you will be undertaking a wide range of administrative duties you must be a good communicator, face to face and on the telephone; have good organisational skills; knowledge of IT systems and data inputting and be flexible, being able to respond to changing priorities.
Your role will also include liaising and taking notes to other departments in the Trust and working with the team of ward clerks within the Children's unit to cross cover workloads as needed in response to changing work pressures.
Job responsibilities
* To be responsible for admitting and discharging patients referred to the unit. Ensure the Camis system is maintained accurately reflecting the patients' journey from admission to discharge.
* To support staff with the administrative aspects of the admission and discharge processes.
* Source NHS numbers and ensure records are updated.
* Ensure incoming and outgoing post is directed to appropriate staff within the team.
* To answer and manage internal and external telephone enquiries redirect to appropriate person as necessary always maintaining confidentiality.
* Take and collect items from other departments in the hospital as required.
* Ensure folders for nursing and medical documents are requested from medical records, make folders up and ensure that nursing and medical documentation is filed correctly. Order second volume notes as necessary.
* To promote effective communication channels both within the ward/department/directorate and Trust.
* Ensure the medical and nursing staff have access to the referral information and ward reviews.
* Ensure that there is a readily available supply of stationery within the unit. This includes photocopying documents as and when required and liaising with Desk Top Publishing (DTP) to arrange printing of specific and updated documents. Access to EPROC system.
* To be responsible for booking appointments or transport as requested by nursing/medical staff.
* If requested accept donations on behalf of the unit, ensuring these funds are correctly paid in, managing the storage of donation receipts and ensuring an individual acknowledgment to the donor is made by the appropriate personnel.
* Supporting nursing and medical staff with the transfer of a child to another hospital.
* Ensure folders can be tracked in and out of the unit and effectively manage any deviations from the tracking system. Access medical records department to obtain medical notes as necessary.
* Preparing medical notes and patient list for monthly meetings.
* Support the Ward Manager in administration tasks such as filing, typing letters and compiling documentation etc for meetings.
Person Specification
Education, Training and Qualifications
* GCSE Maths and English C or 9-4.
* Information Governance.
* Basic life support.
Knowledge and Experience
* Organisational skills.

* Able to develop and maintain meaningful relationships with staff, children, families and their associates.
* Able to maintain confidentiality.
* Experience of working within a hospital environment.
