Job Summary
We are looking for a highly motivated Band 3 Administrative Coordinator for 22.5 hours per week to work within the LTFU service based in the Bexley Wing at St James Hospital. The working hours are 7.5 hours per day with days to be agreed at the interview.

Main Duties of the Job
Interested applicants must possess line management experience along with experience in minute-taking and collating data for meetings such as MDT and Peer review. Responsibilities include:
1. Line management of our Band 2 clerk typist, including annual appraisal and leave management.
2. Maintaining a good knowledge of Microsoft Office packages.
3. Demonstrating excellent communication skills and the ability to work under minimal supervision while meeting deadlines.

Job Responsibilities
1. Provide a comprehensive administrative/secretarial service to the Long Term Follow Up Team, adapting to changing demands within the team.
2. Communicate sensitively and effectively with a wide range of people including patients, families, and medical staff.
3. Undertake administrative responsibilities in support of the long-term follow-up team.
4. Ensure confidentiality and discretion in all communications.
5. Maintain office systems and processes, including stock levels, leave requests, and expense claims.
6. Produce reports and statistics for the team and wider distribution.
7. Manage diaries of senior team members and organize meetings and appointments.
8. Attend meetings, take minutes, and follow up on actions.
9. Arrange travel and accommodation for the team as appropriate.
Person Specification
Other Criteria Essential
1. Proficiency in the use of Microsoft Office or equivalent.
2. Interpersonal skills with the ability to communicate clearly and effectively at all levels.
3. Diary management experience.
4. Proficiency in PowerPoint and experience with spreadsheets or databases.
5. Ability to exercise judgment when dealing with patient inquiries.
6. Able to fulfill Occupational Health requirements for the post.
Qualifications Essential
1. RSA 11 or equivalent standard of typing/word processing.
2. Educated to GCSE standard (or equivalent) in English language grade C or above.
3. Willingness to undergo all necessary training requirements for the post.
Experience Essential
1. Previous experience in dealing with the general public and liaising with healthcare professionals.
2. Experience using IT applications in a Windows-based environment.
3. Respect for patient confidentiality and understanding of the Data Protection Act.
Skills & Behaviours Essential
1. Ability to prioritize, plan, and organize workload.
2. Ability to work as part of a team and adapt to team requirements.
3. Understanding of the need for confidentiality and discretion.
