RESPONSIBILITIES
* A key element of the Project Executive role is to follow and fully understand Sleek’s internal processes.
* As a Project Executive you will be a key part of the events team. Senior members of the team will rely on you to support them across different projects. Complete project tasks on time.
* Working to deadlines is fundamental to the success of all projects. You will be expected to follow internal critical paths, client deadlines and supplier deadlines.
* Support the Operations team with project planning such as helping to source and negotiate suppliers and venues, assist with budget creation, management and reconciliation, creating PO's and assisting with supplier onboarding and support in update of core project management docs.
* Attend venue site visits and create site visit reports for internal and client review
* Create and print supporting, event stock and shipping management, assist with build/breakdown of events, production office set up on site and check through plans and artwork for updates
* Providing Social media content when attending networking events, FAMs, exhibitions etc
* Networking with the industry by attending relevant events
* As part of your role you will create and print supporting onsite docs: radio lists, crew lists, contact lists, event A-Z, rooming lists, team know before you go
* As a Project Executive you will be involved in the research and administration involved in the preparation of RFP's. You will need to support the rest of the team in the preparation of RFPs/proposals.
* You will be required to monitor suppliers and seek out new suppliers.
* Office admin support including booking team travel and accommodation, maintaining accurate internal documents EG Bookings tracker / FAM trip tracker etc
Requirements
* Prior experience in a similar event agency client facing role
* Ability to manage clients and delegates pre-event / onsite and post-event
* Great, confident communication skills, on phone and in person
* Enthusiastic
* Prioritise your own work effectively
* Work in multi-functional/cross disciplined teams
* Represent Sleek: good knowledge of Sleek, the events industry and client’s industries
* High attention to detail
* Able to travel when required
* Flexible working attitude
* IT literate (MS Office)
* Desirable software knowledge: Procim/Google docs
* Being multilingual is beneficial
* Proactive, self-motivated, focused
* Strong desire to help others to succeed
* Work collaboratively and provide excellent support
