Job Summary The Project Billing Specialist supports the Finance and Project Teams throughout each construction project’s lifecycle. Under the direction of the Controller, the Project Billing Specialist assists in the compilation, analysis, and recording of Cost-Plus, Lump Sum, and Negotiated billings. They will work collaboratively with personnel as assigned, monitoring and recording evolving project parameters. Responsibilities and Duties Maintain organized and detailed records of all billing-related documents. Track and document any changes to project scope or additional work that may impact billing. Support the management of project cost codes. Support the review of project costs, including labor, subcontractor, material, and equipment. Support the review of project margins and financial reporting. Prepare project billing packages and all supporting documentation. Support the management of the project retainage fund. Track and document payments received. Support financial reporting process related to accounts receivable, collections, and revenue. Facilitate communication-related to collection activities and reporting. Assist with other office management duties as assigned. Skills and Abilities Exceptionally detail-oriented, organized, and focused on presentation. Comfortable learning new software applications quickly and with little direct supervision. Ability to research and comprehend the details of contract documents. Ability to identify and resolve billing discrepancies or issues efficiently. Possess a strong desire to keep IT-related skill sets relevant and useful. Ability to prioritize time to meet deadlines, anticipate issues, and avoid bottlenecks. Focus on excellent time management and communication skills. Employment Requirements Associates degree in Accounting or 5 years of experience in related field. 2 years of experience in job cost analysis or billing in a project-based environment Previous experience with T&M or Cost-Plus billing. Proficiency in Microsoft Excel Ability to follow oral and written instructions. Ability to interact with co-workers, clients & their staff in a respectful and courteous manner. Possess a valid driver’s license and reliable transportation. Preferred Experience Previous experience with Computer Ease/DelTek, Sage, or other general ledger system Familiarity with AIA-formatted billing Familiarity with Procore Project Management Software Physical Requirements Must be able to work in an indoor office environment and an active outdoor construction site environment. Must be able to ascend and descend ladders, stairs, and work in confined spaces and in proximity to loud equipment. Must be able to traverse irregular and steep terrain. Must be able to work in various weather conditions and be exposed to dirt or dust. Must be able to wear required personal protective equipment most of the day. Must be able to lift and carry 25lbs regularly and 50lbs occasionally. Must be able to work for long periods of time in front of a computer or while standing
