Information Governance Administrator #1029

We are seeking a well-organised and driven administrator to support our already established Information Governance (IG) framework to ensure compliance and best practice working at Dougie Mac. This role involves administrative tasks, updating our IG action plan, assisting with audits, review of key documents and assessing incidents. You will also raise awareness of data protection; you will engage with various staff members across the organisation at all levels. The post holder must therefore have a good knowledge of data handling practices and regulations, as well as good organisational and collaborative working abilities. You will work independently and report into our Information Governance Lead who you will also support with general data protection and information security tasks.
Main duties of the job
Key Responsibilities:
1. Essential admin tasks, including recording minutes, creating documents and preparing reports.
2. Assist with information governance audits and analysis.
3. Engage with staff to provide advice and ensure good practice is embedded.
4. Review data incidents, highlight potential risks and provide insights to reduce risks.
5. Assist with the submission of the DSPT on an annual basis.

Our Information Governance framework includes policies, procedures and standards for managing data, helping us to stay compliant and mitigate risks.
As an Information Governance Administrator, you will be responsible for supporting the delivery of our Information Governance (IG) framework and ensure compliance with data management standards within the hospice. Duties include administrative tasks to support the Information Governance Lead and key roles, as well as updating and supporting the delivery of our IG action plan. You will also help enhance awareness of data protection and information security matters as well as best practice through collaborative working across all areas of the organisation.
Key Responsibilities:
1. Organise and participate in meetings: Coordinate and attend IG-related meetings, accurately record meetings and assist in preparing reports and action plans.
2. Conduct and assist in IG audits; engage with staff to ensure completion within a timely manner and highlight potential risks.
3. Collaborative working: Work with teams across the hospice to identify and address compliance gaps in IG standards.
4. Review data incidents: review data incidents recorded in Vantage database; provide insight and support plans in reduction of risk and repetition.
5. Implement Action Plan: Support the execution of the IG action plan, ensuring tasks are completed effectively.
6. Create and prepare IG related documents and materials: such as reports, posters, guidance documents, along with relevant analysis.
7. Manage risk assessments and policy renewals: Log risk assessments, policy renewals and agreements, ensure timely reviews of all relevant documents.
8. Provide IG advice and enhance awareness: Offer advice on general IG issues, enhance awareness, seeking support when needed.
9. Support IG Leads: Assist IG Leads with various tasks, including the submission of the Data Security and Protection Toolkit (DSPT) while highlighting any concerns or risk.
10. Knowledge: Have knowledge of the Data Protection Act 2018 and understand GDPR key principles, stay updated on relevant regulatory changes.
Person Specification
Qualifications
* Evidence of formal education, educated to minimum of GCSE level.
* Information Governance related qualification.
* Full driving licence, with access to own vehicle and appropriate business insurance.
Experience
* Administration experience, including minute taking and preparing reports.
* Work to agreed time frames & targets.
* Experience of Data Protection practices, handling data.
* Project coordination.
* Collaborative working with cross-functional teams.
* Experience of working with an incident/risk/compliance software.
Additional Criteria
* Excellent communication skills (verbal and written).
* Excellent organisational and time management skills.
* Computer literate. Able to use in-house databases and Microsoft Office programs i.e Word/Outlook & Excel.
* Can use own initiative and is a problem solver.
* Highly organised, accurate and attention to detail.
* Approachable & supportive team player.
* Willingness to learn and network, to improve knowledge & skills relevant to Information Governance and Hospice care.
* Dress in a way that conforms to accepted codes of business dress.
* Knowledge of ICO, Data Protection Laws and relevant regulations.
* Self-motivated and proactive.
