Coulter Elite Resourcing are currently looking for a Receptionist to work with their very well-established client based in Nottingham.
The ideal candidate for this Receptionist position will be someone who has excellent communication skills, both written and verbal and is able to communicate at all levels. Those with experience of working in a professional organisation in an internal customer facing role such as a receptionist, PA or facilities co-ordinator are urged to apply.
Principle Responsibilities for the Receptionist position:
1. The main responsibilities of this postholder are to provide administrative and operational support within the Nottingham office.
2. Reception duties to include reviewing meeting room calendars, preparing meeting rooms and arranging catering, meeting and greeting visitors, directing them to the meeting room and providing refreshments, copying ID documents for fee earners, keeping visitor book and staff records updated for fire evacuation purposes, accepting and signing for incoming deliveries
3. Handling of incoming mail including date stamping, scanning on to the system and attaching to relevant SOS matters, adhering to company guidelines
4. Handling of outgoing mail including weighing/checking size, franking and ensure it is collected by Royal Mail together with keeping the franking machine in credit
5. Input timesheets and prepare cost estimate warnings
6. Maintain office supplies and stationery ensuring orders placed for replacement stock in a timely manner to assist with the smooth running of the office – ensuring these storage areas are kept tidy
7. File archiving within SOS including destruction of archived files in accordance with the company’s file retention policy, monitoring office advance diaries, dealing with files opened in error and retrieving files, deeds and other documents from storage and subsequently returning them too. Maintaining SOS and Filetrack databases
8. Manage the Nottingham Operations email inbox and respond to requests accordingly
9. Filing across all departments (if additional assistance (over and above team secretary) is required);
10. Complete new client Anti-Money Laundering checks;
11. Provide urgent typing support to the office fee earners
12. Deal with queries and enquiries from fee earners and secretaries;
13. Assistance in support team wherever and whenever necessary
14. Be flexible as a member of the wider support team and assist with work as required, co-operating with peers and others, ensuring a co-operative team environment;
15. Undertake any specific training when required to do so to include attendance at all internal sessions, and have overall responsibility towards self-development;
Person specification for the Receptionist position:
16. A dynamic team player with a proactive and willing attitude.
17. Good keyboard skills and knowledge of Microsoft packages
18. Excellent accuracy and attention to detail in work produced.
19. Customer care to the highest standard.
20. Evidence of a ‘can-do’ attitude and good work ethic. Experience of working in a team – demonstrates skills of team player – supportive, reliable and flexible.
21. Exceptionally organised with the ability to multi-task, be hands on and have the ability to work under pressure/meet deadlines.
22. Desire to undertake training when required to do so and overall to have a responsibility towards self-development and further training.
This is a full time permanent Receptionist position, offering an annual salary of up to £27,000.
