Due to an internal promotion, we are seeking a New Administrative Assistant to join our team, based in our Malvern Head Office. Our new Administrative Assistant will join a team of 5 and will undertake general administrative duties including attending meetings, supporting the Office Manager to ensure our administration runs smoothly and managing and distributing information within the office professionally and efficiently. How You’ll Contribute In this busy role, you will carry out general administrative tasks including: Providing administrative support to staff including Senior Management, directly or via email correspondence. Providing front desk coverage by managing the phone system and greeting guests as they enter the office. Managing incoming/outgoing mail and shipments; ordering office and site supplies. Maintaining our filing system and updating internal databases. Putting together Site Safety Start up Packs for all new projects & compiling divisional Health & Safety files upon completion of projects. Compiling letters, spreadsheets and forms when required. Arranging travel plans and hotel stays for staff members & assisting with relevant company events as required. Attending monthly meetings as required. Monitoring and actioning requests in the internal shared inboxes. Being a Fire Marshall for the office and carrying out Fire alarm and emergency lighting tests for office.
