This role will involve working out of several locations across Lancashire, requiring travel to various offices. It includes lone working and collaboration with partners within the MASH, necessitating initiative and the ability to manage complex relationships. The role demands creativity, forward-thinking, and the capability to work across multiple systems while contributing to system changes.
Overview of the job
This is a senior administrative role in the Divisional office, providing corporate support for operational teams. The jobholder will interface with the Hub Manager, Business Manager, colleagues, and partners on various issues, reporting to the Hub Manager and Business Manager.
Summary
The purpose of the role is to ensure efficient and effective business support and operational administrative services are provided to the Division, Function, or Cluster.
The jobholder will assist the Business Manager in ensuring compliance with Health, Safety, and Fire Regulations, acting as the Single Point of Contact / Estates Liaison Officer for the buildings from which they operate.

Responsibilities, Activities & Duties
The job holder will be required to carry out the following responsibilities, activities, and duties:
1. Management Support:
• Development and implementation of business administration systems and databases.
• Preparation and collation of documentation to support divisional and operational activities.
• Maintenance of Registers such as Serious Further Offences and Freedom of Information.
• Collection and distribution of monies and maintenance of related records.
• Act as Vetting Contact Point.
• Monitor Travel Warrants and assist with Purchase Orders.
• Attend meetings representing the Business Manager.
2. Health, Safety & Fire:
• Timely reporting of building issues to facilities contractors.
• Undertake and coordinate health and safety risk assessments and maintain registers.
3. Effectively Manage and Develop Staff:
• Provide effective management and leadership to the team.
• Proactively manage staff development and performance issues.
4. Use Communication Effectively:
• Write reports to support operational effectiveness.
• Participate in meetings using appropriate skills.
5. Enhance Your Own Performance:
• Manage resources and take responsibility for professional development.
• Ensure confidentiality of information as per Data Protection Act.

Minimum Requirements
* Demonstrated administration experience and management support activities.

Technical Requirements
* NVQ Level 2 or equivalent.
* GCSE Grade A-C in English and Maths (or equivalent).
* IT Skills; Microsoft: Word, Excel, Outlook, PowerPoint (or equivalent).
