About the job Job summary The Ministry of Defence employs over 50,000 Civil Servants. Within that, the Army employs around 7,000 MOD Civil Servants located at over 300 locations. In the role, you will become a valued member of a small and dynamic team, enabling Service Personnel to attend our courses. We receive approximately 13,000 course applications per year and as the JSMTC Courses Clerk, you will be responsible for loading suitably qualified and experienced students onto our courses and ensuring that amendments and cancellations are quickly resolved and training capacity is maximised. Job description The successful candidate will be responsible for administering course applications and loadings. This will include: Vet and validate approximately 6,000 course applications per annum in line with policy. Allocate students to courses and disseminate Joining Instructions. This includes short-notice amendments, ensuring that training capacity is maximised for Defence. Provide an online and face-to-face customer service function, to provide course information/queries to potential students and post-selection course administration support. Communicate with all training delivery centres to disseminate course specific information and manage cross-cutting administrative requirements for training delivery, such as medical requirements for course loading and travel/movements planning. Lead with recording and collation of all Army sponsored adventurous training course results, ensuring records are accurately stored, categorised and archived. Provide administrative support for worldwide overseas adventurous training and exercises, either directly or through the sub-unit delivering the activity. This position requires the incumbent to be security cleared and is advertised at 37 hours per week with the ability to work 1 day per week from home, with Line Manager agreement. Person specification Previous experience is not essential as training will be provided, however, we do ask that you have strong administrative skills, communication skills, and problem-solving skills. The ability to work as part of a small team is essential as is the ability to be flexible and adaptable to changing priorities. Desirable: Proficiency with Microsoft Applications such as Word, Excel, PowerPoint, Outlook and familiarity with database management systems. Strong administrative skills - ensuring accuracy in administrative tasks and documentation. Problem-solving skills - ability to anticipate needs and proactively address potential issues. Communication and inter-personal skills - ability to foster positive relationships with colleagues and customers. Ability to manage and prioritise own time and tasks with minimal supervision.
