Admin Manager needed at an SEN School in Truro.
This role is full time on a temp-perm basis, pending application and successful interview.
Salary: £30,964 FTE per annum/pro rata (based on hours/working weeks). Includes 12 additional working days/on-call during school holidays.
Hours: Variable hours initially for 37 hrs/week, 39 working weeks/year (term time plus CPD days), plus 12 days in school holidays. Typical hours are 8:15 - 4:15 Monday to Thursday and 8:15 - 3:45 Friday.
Roles and Responsibilities
1. Support the Headteacher with professional administrative duties and oversee the admin team.
2. Maintain up-to-date staff and pupil records, including attendance, contacts, and medical needs.
3. Manage HR administration, including recruitment, staff absence, and personnel records, following trust processes.
4. Handle safeguarding administration and monitor the Single Central Record (SCR).
5. Ensure administrative processes are accurate, secure, and GDPR compliant.
6. Update school records in Arbor and other systems, ensuring data protection compliance.
7. Be the first point of contact for HR queries, process staffing forms, and liaise with the trust team.
8. Maintain confidentiality of staff and pupil records, following data retention policies.
9. Manage DBS checks, pre-employment checks, and Letters of Assurance.
10. Support recruitment, induction, and leavers processes administratively.
11. Handle administration related to pupil intake and departure, maintaining confidentiality.
12. Maintain electronic and manual records, including census returns and reports.
13. Coordinate home/school transport with the Local Authority and liaise with relevant parties.
14. Provide secretarial and administrative support to the Headteacher, including diary management, meetings, and correspondence.
15. Support school events and meetings, including minute-taking.
16. Oversee reception and office staff, line managing team members.
17. Ensure compliance with national and school policies.
18. Manage school communications, calendar, and financial processes, including purchasing and invoicing.
19. Attend budget meetings as invited and process expense claims and overtime.
20. Liaise with suppliers, contractors, and external agencies.
21. Arrange supply staff and manage staff absence records.
22. Manage work placements and volunteers, and conduct staff inductions.
23. Participate in emergency procedures and liaise with media when necessary.
24. Support Ofsted inspections and prioritize pupils' needs.
25. Support other staff and cover roles across sites as needed.
26. Adhere to Trust values, policies, and pursue personal development.
27. Perform other duties as appropriate.
