The Communications Officer plays a pivotal role in the delivery of the engagement programme across the geographic area of the remit of ATW and MW-ATTC. A strategic thinker with strong experience of creating and executing communications activity, the Communications Officer will be adept at identifying a target audience and developing salient communications material that can be delivered through appropriate channels. Communication and Relationship Skills Builds and maintains strong relationships with media outlets across Wales in order to secure support and optimise opportunities for media coverage. Works closely with journalists across Wales to plan and deliver print and broadcast media opportunities to promote the Velindre University NHS Trust and its divisions, Welsh Blood Service and Velindre Cancer Centre. Under the direction of the ATW/MWATTC Project Manager, manages the directed course of action with the media, and social media. Supports the ATW/MWATTC Project in organising and coordinating print and broadcast interviews for ATW and case studies. Responsible for liaising with staff from across the organisation to create engaging internal and external communications content, using stakeholder management skills to extract key information. Uses diplomacy and discretion to support the ATW/MWATTC Project team in developing and implementing internal communications plans relating to strategic change programmes. Manages all social media activity (across Facebook, Twitter and Instagram), ensuring it is informative, engaging and aligned with communications objectives. Evaluates all communications activity to understand if activity adheres to Welsh Blood Service policy and achieves objectives. Develops and delivers compelling communications content to keeps all external and internal stakeholders updated on developments within Advanced Therapies. Acts as first point of contact for intranet content queries and ensure they are dealt with in a timely manner, using diplomacy and influencing skills to inform activity. Acts as first point of contact for ATW and MW-ATTC public facing website and ensures the site is refreshed and kept up to date at all times. Acts as the first point of contact for media enquiries, escalating to the ATW/MWATTC Project Manager where necessary. Responsible for creating draft media responses where necessary and coordinating sign-off internally. Often required to deal with sensitive and confidential issues. Liaises and develops relationships with other Advanced Therapies stakeholders, NHS Wales communications teams, marketing and public relations networks in order to share best practice and link with nationwide campaigns. Develops relationships with existing and potential partner organisations (e.g. community groups, sports clubs, businesses, local councils, third sector organisations etc.) to enable co-promotion of Advanced Therapies across a variety of channels. Provides clear guidance to ATW Programme Board on digital media activities and plans through regular communications channels. Takes the lead in finding real life donor stories for promotion across communications channels, using compassion and empathy to sensitively communicate real life stories. Service Management Has a sound knowledge of all aspects of media relations and has the ability to support the ATW/MWATTC team in the implementation and management of media strategies across Radio, TV, print, social media and e-Marketing. The post holder should have a sound knowledge of public relations. Keeps up to date with legislative changes of Data Protection and anti-spam legislation compliance. Digital design expertise to support the production of promotional material including flyers, posters, social media graphics, presentations and additional content for the ATW and MW-ATTC website. Excellent office administration skills including knowledge of databases, spreadsheets, publicity packages and undertaking surveys. Produces the monthly online communications report to demonstrate success. This requires regular review and evaluation of systems used. Analyses previous media activity, statistics and forthcoming ATW and MW-ATTC events to identify potential media targets for communications activity. Reviews website statistics and analyses the success of previous activity, utilising this information to influence future activity. Responsible for social media at ATW and MW-ATTC. Following policy and procedure, Information Security, Data Protection & Confidentiality, Freedom of Information & Records Management. Produces monthly reports to evidence social media activity and monitor trends to enable decision making. Maintains the reputation of ATW and MW-ATTC by supporting the ongoing monitoring and response to complaints and comments on social media. Uses professional judgement to alert the ATW/MWATTC Project Manager to any potential reputational risks. Organises own work to ensure that deadlines are met, and tasks are appropriately prioritised. Creates a forward plan of content for the ATW and MW-ATTC Website. Supports the coordination of regional engagement events. Service Improvement Identifies and raises awareness of potential new digital development opportunities. Project manages and co-ordinates all e-marketing campaigns. Supports the ATW/MWATTC Project team in co-ordinating events on behalf of ATW and MW-ATTC. Organises mailing subscriptions lists and select demographic target groups to enhance effective campaigns. Researches innovations in social media to provide recommendations to enhance the overall communications strategy. Comments on policies which effect engagement strategies and leads on digital media policies. Identifies and raises awareness to the ATW/MWATTC Project Manager of potential new avenues and campaign opportunities. Leads on development of the ATW and MW-ATTC public facing website, ensuring their content is regularly refreshed, accurate and relevant. Leads on development, implementation, monitoring and evaluation of ATW and MW-ATTC social media policy. Continuously seeks and identifies potential new avenues for promotion in the media and gathers contacts for relationship development. Is able to edit video content for use on website and social media. Effort and Environmental Requirement The post-holder will require a good knowledge of software packages, including Excel, Word and PowerPoint in order to perform daily duties. Detailed knowledge of social media platforms. Ability to film, edit and publish short promotional videos for use on social media, the ATW and MW-ATTC website and intranet. Ability to travel between sites and across a wide geographical area in a timely manner. Finance and Resources During events will be responsible for ensuring that the correct multi-media, marketing and publicity equipment is in place. Under the direction of the ATW/MWATTC Project Manager, sources costing and places adverts within Welsh Media and on social media, managing budget in the process. The post holder will monitor and administer all social media advertising spend, raising electronic orders via the Oracle system. Ability to train colleagues in social media communications. Information Processing Use a variety of IT applications to promote the smooth running of the department and projects. Plan and develop electronic and paper data-based resources. Create and prepare material for use by the Welsh media. Set up an electronic system which delivers accurate reports for social media activity for ATW and MW-ATTC. Undertake Social Media monitoring on a standby basis, out of hours, when instructed by the Senior Manager on-call during emergency situations. Responsible for the design and distribution of the Horizon Scanning document and other ATW and MW-ATTC associated documents.
