Full time (37.5 hours) Permanent – Working pattern Monday - Friday 8am - 4pm. Based at Jenner House, Langley Park, Chippenham, SN15 1GG.
We are seeking to recruit an enthusiastic and motivated Senior Administrator to provide day to day operational & line management support to a team of administrators who work within our Central Booking Office Physio Team.
The post-holder will need proven line management experience, good written and verbal communication, strong IT skills, inter-personal and administration skills with the ability to work flexibly within a challenging environment. A proactive “can do” attitude is required and a commitment to high quality, recognising the benefits of creativity and adaptability in a changing environment.
The successful candidate will work closely with the team to embed and sustain processes across the service and manage administrative functions to support effective patient care/delivery.
This crucial role includes day-to-day operational troubleshooting and requires a solution-focused approach.
This is an exciting opportunity for an experienced administrator to join the Specialist Services Administration Management Team, to help provide a positive and efficient administration support service.

Key Responsibilities
1. Monitor delivery of the workflow, allocating and checking work to ensure an efficient and effective admin service is provided to all clinicians and clinical team managers in a timely manner. Allocating and reallocating tasks on a daily basis as required as organisational priorities change.
2. Plan, co-ordinate and manage the workflow within the wider administration team in collaboration with other senior administrators and the Administration Manager.
3. Contribute to the process of rota planning and flexible working within the team to ensure that workflow is managed between different tasks on all sites.
4. Ensure that all public and professional enquiries are dealt with by the administrative team in an efficient, polite and confidential manner and are passed onto the relevant member of staff for action.
5. Provide data to inform the staffing plan to recruit & develop admin staff in line with changing business needs and budget, participating in the recruitment tasks, sitting on interview panels and inducting new members of staff.
6. Support the Administration Manager in the delivery of services across Specialist Services and in developing county-wide standardised administration processes.
7. Participate in the communication and information cascade to administrators within the team via team meetings and other communications methods. Maintain good communications with clinicians and managers in relation to the administration and customer services provided by the team.
8. Responsible for the formal supervision and performance development reviews of a delegated group of administrators from within the team, identifying training and skills development needs to feed the training plan devised by the Admin Manager.
The Ideal Candidate
1. Educated to A-Level or equivalent knowledge and competency
2. Excellent organisational, IT and communication skills
3. Substantial experience in an administrative position
4. Comprehensive knowledge of office procedures
5. Above-basic knowledge of a range of Microsoft Office packages, including Microsoft Excel, Microsoft Word and Microsoft Office
6. Supervisory experience in a patient/service focused environment delivering services to a number of people and managing workload priorities
7. Evidence of administrative experience within a customer/patient focused environment
8. Previous experience in a medical, health or social care environment
9. Knowledge of data protection and confidentiality
10. Experience in waiting list management of a large referral base
11. Experience of using PAS (e.g SystmOne)
12. Knowledge of Information Governance
13. Experience of working with minimal supervision
14. Experience of multi-tasking and prioritising work
15. Ability to problem solve
16. Experience in collecting information and chasing responses from colleagues at different levels of the organisation
17. Experience of data entry
18. Excellent communication skills (written, face to face and on the telephone)
19. Ability to work effectively independently and as a team
20. Ability to work under pressure and to tight timescales
21. Ability to respond to changing or competing priorities
22. Ability to use initiative but recognise when to seek further assistance
23. Ability to analyse, interpret and present information in a clear and concise manner
