About the role: The main purpose of the role is to provide a high standard of administrative support and coordination of activities relating to the Operations function and provide an administration service to the Operations team including diary management, writing and preparing presentations, organising meetings and managing correspondence. Key responsibilities include: To attend, facilitate the organisation of meetings; preparing meeting documentation and minute taking of specified Operational meetings. Ordering of PPE/Uniforms required. Organise and book travel and hotels as required. Processing of EU licences for both internal and external people to ensure we comply with regulations. To attend, facilitate the organisation of any team events. Provide support with the Periodic Operations report. Responsible for delay attribution at your allocated depots; requesting evidence from Drivers to manage delays, attaching all required Driver reports to Compass and EDS, reviewing TRUST, Ageis and any other available sources of information to proactively manage delays. Support with identifying trends and suggest improvements. Collating Annual Leave of Heads of Operations and liaising with the PA to Directors. Organise disciplinary/grievance interviews and take notes as required. Maintain appropriate Databases in accordance with GDPR. Provide support with the production of accurate and detailed reports, updates and evidence to meet audit requirements, adhering to deadlines set by external funding bodies and to meet audit requirements. Administer Purchase Orders and invoicing for the Operations Team, ensuring that vendors are set up and paid in line with contractual agreements. About you: Highly organised, strong time-management skills. Flexible and adaptable; open to change and development. Ability to quickly prioritise and carry out complex administrative tasks. Proven ability to work in a varied and fast paced environment and the ability to utilise own initiative; together with a “completer/finisher” ethos Excellent written and communication skills; to be able to take accurate minutes and produce detailed written reports. Excellent analytical ability demonstrated.
