The post holder will be an important member of the Swansea Bay University Health Board (SBUHB) Lymphoedema Team. They will provide administrative support to the SBUHB Lymphoedema team, coordinating, organizing, and preparing the smooth day-to-day running of the Lymphoedema Clinic. The post holder will support the Lymphoedema Administrative Lead and will be tasked with processing referrals, clinical letters, discharges, and oracle ordering. Data collection on projects, including entering data into Excel, will be vital. Additionally, support will be provided for the preparation of monthly Health Board Lymphoedema data reports. The post holder will deal with queries from patients, Health Care Professionals, and other agencies face to face and by telephone, working as a member of a team to provide efficient and effective secretarial support, thereby supporting the delivery of a high-quality service to patients and staff.
Main duties of the job
1. Typing of appropriate official correspondence and related clerical duties.
2. Maintain confidentiality of information at all times.
3. Communicate with a wide range of people from a variety of professional and nonprofessional backgrounds both orally and electronically, providing information and responding to queries, ensuring a high degree of accuracy and detail.
4. Enter and analyse data and produce routine information reports on a variety of workforce and performance data for Lymphoedema Health Board Services.
5. Respond appropriately to patient queries, often dealing with anxious/distressed patients face to face or by telephone.
6. Demonstrate effective communication skills with Multidisciplinary Team, staff, patients, and carers, which may require tact, persuasion, and motivation.
7. Assist with general office duties as necessary including receiving, sending, and sorting mail, photocopying, emailing distribution as necessary.
8. Provide support with data entry into Excel and basic analysis on the data.
9. Design bespoke proformas for data collection and oversee their timely return.

Qualifications & Knowledge
* Numeracy and literacy to GCSE level or equivalent NVQ 3 in relevant subject.
* IT Skills competent to a high level with Microsoft IT packages including Word, Excel, and PowerPoint.
* Familiar and confident using email.
* ECDL or equivalent.
Experience
* Previous experience of working with people.
* Previous experience of working with patients or within the NHS.
* Ordering and invoicing procedures and processes.
* Data input, manipulation, and analysis.
