Job Purpose: To assist the Service Manager with the daily operations of the office including recruitment and employee relations. Key Areas of roles and responsibilities: • Advertise vacant posts on various platforms monitor and keep abreast of shortlisted application • Post, update and remove job ads from job boards, careers pages and social networks • Screening CV and application forms for suitability • Arrange Job interviews for candidates applying for vacant positions • Requesting newly recruited staff references • Update the organisations internal databases with new employee information, including contact details and employment forms • Managing the payroll – compiling payroll data for staff i.e., working hours, annual leaves, and bank account details • Manage the Training Portal for Staff and Management and induct new staff onto various training portals • Keeping the training matrix and staff training records up to date • Keep all staff up to date with any outstanding training • Prepare HR-related reports as needed (like training budgets by department) • Address employee queries about HR issues • Develop programmes that enhance employee relations • Ensure that the company employment policies comply with employment legislation • Review and distribute company policies in digital formats or hard copies as required • Monitoring policy and procedures expiry dates • Promoting equality, health, and safety within the company • Assisting the Service Manager with various administration tasks • Send emails on behalf of the Service Manager • Recording and processing confidential information • Keeping all electronic records and files up to date • Scan receipts and keep records on file • Ordering office equipment and stationery approved by the Service Manager • Participate in organizing company events and careers days Requirements Essential: A minimum of 2 years’ experience in administration A minimum of 2 years’ experience in all areas of recruitment Good organisational skills Proficient in using MS Office Able to use own initiative and be proactive Experience in working as part of a team Desirable: BSc in Human Resources Management or similar field Experience of working with young people in a care setting Knowledge of young people’s legislation Knowledge of safeguarding children
