Role Summary
The Receptionist will lead customer service initiatives, strengthening relationships within the university and increasing engagement at the sports centre.
Main Duties
With guidance from the Member Engagement Manager, Senior Membership Officer, and Reception Team Leaders, develop and execute plans to promote UBSport services, programs, facilities, and events.
Customer Service
* Welcome sports centre visitors
* Maintain comprehensive product knowledge
* Handle inquiries via face-to-face, email, phone, and written communication
* Manage difficult situations with support from team leaders
* Record customer feedback and communications
* Provide excellent customer service consistently
* Assist with membership inquiries and renewals
* Issue and manage locker keys and membership cards
* Process payments via cash or card
* Coordinate equipment hire and promotional activities
* Take photographs of new members and issue membership cards
* Manage customer access and safety procedures
Operational Duties
* Provide administrative support across departments
* Reconcile transactions at shift end
* Manage booking systems and facility bookings
* Coordinate promotions and manage post and deliveries
* Record incidents and assist with maintenance reports
* Maintain a tidy reception area and stock supplies
Other Duties
* Support UBSport events and open days
* Participate in staff reviews and team briefings
* Assist in training staff and brand ambassadors
* Manage reception inventory and ensure professional appearance
* Perform any other relevant duties as required
Knowledge, Skills, Qualifications, and Experience
Essential
* Experience in front-of-house operations
* Excellent customer service and conflict resolution skills
* Experience in the leisure industry
* Strong communication and writing skills
* Ability to work independently and use initiative
* Flexibility to work outside standard hours and during busy periods
* Proficiency in Microsoft Word, Excel, and Publisher
* Teamwork skills
Desirable
* Educational qualifications such as A Levels or equivalent in Customer Service or Hospitality
* Knowledge of sport and fitness industry
* Experience with cash handling and till systems
* First Aid at Work certification
Additional Information
* Ability to follow complex procedures and support systems
* Practical experience with relevant procedures and policies
* Ability to prioritize and manage workload independently
* Strong problem-solving skills, with judgment for decision-making
* Excellent communication with members, staff, and external contacts
